We are currently seeking a highly skilled and dedicated Personal Assistant to the directors to join our growing team.
Role Overview:
As the Personal Assistant to Directors, you will be responsible for managing day-to-day administrative tasks, organising schedules, coordinating meetings, and supporting the Directors to ensure they can focus on strategic business objectives. Your role will be essential in ensuring the smooth running of the executive team’s activities and delivering high-quality support services.
Key Responsibilities:
1. Diary and Schedule Management:
Manage and maintain directors’ calendars, scheduling meetings, appointments, and travel arrangements.
Organise and prioritise daily tasks to ensure efficient use of time.
2. Administrative Support:
Prepare correspondence, reports, and presentations as required.
Handle email correspondence, screen calls, and manage incoming queries on behalf of the directors.
Maintain accurate filing systems and ensure important documentation is readily accessible.
3. Meeting Coordination:
Arrange and coordinate internal and external meetings, including preparing agendas and taking minutes.
Follow up on action points to ensure timely completion.
4. Travel and Event Management:
Organise domestic and international travel arrangements, including accommodation and logistics.
Assist in planning and executing corporate events and functions.
5. Communication Liaison:
Act as the first point of contact between directors, staff, and external stakeholders.
Foster professional relationships and handle sensitive information with discretion.
6. Project Assistance:
Support the directors on key projects by conducting research, managing timelines, and ensuring deliverables are met.
Key Requirements:
1. Proven experience as a Personal Assistant, Executive Assistant, or similar role, preferably supporting senior executives.
2. Exceptional organisational and time-management skills, with the ability to manage multiple tasks effectively.
3. High degree of professionalism and discretion when handling confidential information.
4. Excellent written and verbal communication skills.
5. Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other office management tools.
6. Strong attention to detail and ability to work independently.
7. Flexible and adaptable, with a proactive and solutions-focused approach.
