Revel Surgery is a friendly patient focused practice in rural Brinklow, Rugby. We are a two-partner practice delivering the highest standards of clinical care to all our patients working together encompassing the whole practice team.
An exciting opportunity has arisen to manage our new in-house dispensary. This is a great opportunity for an experienced Dispensary manager/Dispenser to lead a newly set up dispensary with the full support and backup of the practice team.
Main duties of the job
MANAGERIAL
To take overall responsibility for the day-to-day management of the dispensary team, ensuring adequate staffing is in place, generating rotas, approving annual leave etc. Ensuring we are compliant, overseeing stock and ordering, working alongside the wider practice team.
Dispensary
Dispensing NHS prescriptions for all our dispensing patients, private patients and temporary residents as required. All aspects of working in a general practice dispensary.

About us
Revel Surgery has a practice list size of approximately 8000, 4000 of which are dispensing patients.
We have two Partners, 5 Salaried GP's, 2 Nurses, 1 HCA, Secretary, Deputy practice manager and Practice manager.
We also have additional roles supporting the practice, including Physiotherapist, Pharmacy technician, Clinical Pharmacist, Dietician, Mental health and Occupational health support, Social prescribing.
We all work together as a cohesive team and meet regularly. All staff support each other in a happy and productive environment.

Job description Job responsibilities
MANAGERIAL
To take overall responsibility for the day-to-day management of the dispensary team, ensuring adequate staffing is in place, generating rotas, approving annual leave etc.
To be involved in the recruitment of new dispensers, organising and overseeing the induction and successful integration of the new member of staff.
To ensure all staff keep up to date with their training requirements, particularly in order to comply with DSQS (Dispensing Quality Scheme) requirements. To organise a programme of training to take place at dispensary meetings.
To carry out an annual PDP and at least one mid-term review for each dispenser. To work closely with the lead GP for the dispensary to ensure regular competency assessments are carried out for each dispenser.
To attend management team meetings and to take an active role as part of the Practices management team.
To oversee the month-end process, ensuring returns are sent by the deadline date.
To oversee the procedures for stock ordering and stock control/rotation.
To ensure that all near misses are recorded and discussed at dispensers meetings. Also, to ensure that significant events are reported and discussed at dispensary meetings.
To ensure that the dispensary is tidy, organised and provides a suitable working environment for staff, particularly in respect of safe dispensing and health and safety requirements.
Monthly audits for room and fridge temperatures, date checking and uncollected prescriptions.
DISPENSER
Dispensing NHS prescriptions for dispensing patients and temporary residents, as well as private prescriptions, to all patients registered at the surgery, as required by the Partners. Handling cash and checking exemption certificates in relation to this and advising patients on the use/compliance of drugs as necessary.
Working with our administration team providing a repeat prescription service which includes taking requests by telephone, email, Emis and repeat slips.
Keeping the dispensary clean, tidy and secure in order to run efficiently.
Maintaining adequate stock levels of drugs within the dispensary, ordering as required (paying attention to costing) and checking all invoices against stock received. Rotating stock to ensure short-dated lines are used first.
Ensuring prescriptions are endorsed correctly, overleaf completed by patient, counted, recorded and filed ready to be sent to the PPA for reimbursement at the end of each month.
Maintaining good communications with other members of the surgery to maximise benefits to patients.
Providing and ensuring cover for holidays, sickness to ensure continuation of the dispensing service.
Taking part in an annual performance and development review as required by the surgery.
Carrying out training each year in order to comply with the requirements of DSQS.
To oversee the regular updating of SOPs, ensuring all staff always work within the agreed procedures. To involve the Practice Manager and GP lead in the updating of SOPs for Surgery.
Update the SOPs for prescription deliveries to ensure compliance with best practice and current pharmaceutical regulations.
To check the controlled drug register at least monthly, reporting any discrepancies to the lead GP.
Monthly audits for the CD stock check, to be recorded in a spreadsheet.
Maintaining up-to-date records of controlled drugs.
To oversee the DSQS, ensuring that the dispensary undertakes all the necessary tasks in order to achieve the financial reward.
To consider which medicines/appliances etc should not be dispensed due to making a significant loss.
To liaise with wholesale account managers, ensuring the dispensary's profitability is maximised.
Keeping up to date with drug changes and advancements, sharing useful information with the dispensary and clinical teams.
