Our client is seeking a candidate to work on a job share role as Administrator and Receptionist based in Kings Hill. You will work on a week on week off basis, and be flexible to cover holiday and sickness based on business needs.
The Administrator/Receptionist will be responsible for ensuring the smooth running of reception and provide administration support to all functions within the business.
Primary responsibilities are to:
1. Answer calls and maintain a quick response rate.
2. Be the point of contact regarding the travel system and annually negotiate corporate rates with local hotels.
3. Ensure compliance, facilitating the necessary security checks prior to receiving visitors.
4. Efficient distribution of incoming mail, and preparation of outgoing mail; use of couriers such as DHL may need to be arranged.
5. Be the point of contact and coordinate the booking of the company meeting rooms.
6. Arrange travel, book taxis, and local hotel accommodation (for outside visitors).
7. Support ITC Manager with courses on site.
8. Order and maintain relevant stationery supplies for the effectiveness of the office.
9. Facility management support.
10. Organise office working lunches and refreshments.
11. Document scanning.
12. Compile Training Manuals.
13. Establish and maintain effective working relationships with co-workers, managers, and customers.
14. Perform other administrative tasks as assigned and for other departments as needed.

Based in our client's offices in Kings Hill, you will work Thursday, Friday, Monday, Tuesday, Wednesday…then have a week off before starting again on the following Thursday.
Being front facing, you will be smartly presented, articulate, and thorough in your duties, especially when facilitating security checks.
