The Patient Pathway Co-Ordinator - Orthotics role is an exciting opportunity to gain experience in administrative duties within the NHS. You can expect to support the Orthotic clinical service, which provides stock and bespoke appliances to patients in an outpatient setting. The Patient Pathway Co-Ordinator will also liaise with key stakeholders to maintain Orthotic stock in areas such as the Fracture Clinic, community Neuro-Rehab units, and Wards across the Trust.
You will be based in an open plan office environment with other Therapy Administrators and will work closely with a supporting Administrator, delegating work as required.
The post holder will work closely with the Therapies Operational Manager to develop the Orthotic service, aiming to improve the clinical service consistently, and will coordinate with Orthotists to plan diaries.
The Orthotic Service is currently delivered by Blatchford, and the post holder will work closely with their area and clinical managers to ensure departmental performance aligns with Trust objectives.

Main duties of the job
Reporting to the Operational Manager, the post holder will provide high-quality administrative support to the senior management and clinical team.
To deliver a professional, comprehensive, and efficient level of administration support while ensuring a patient-focused service that promotes good customer service and effective working relationships across the therapy services based at Milton Keynes Hospital and Stony Stratford Health Centre.
The post holder will oversee the accurate and timely inputting and maintenance of data on data systems, together with the associated correspondence, ensuring standard operating procedures are followed.
Job responsibilities
* Provide a customer-focused service dealing with all patients or visitors efficiently, politely, and courteously.
* Handle queries from patients/relatives confidentially and sensitively; refer clinical-related queries to appropriate staff.
* Support the Operational Manager in maximizing the best use of clinical and non-clinical resources, managing/supervising junior members of the administration team.
* Ensure all enquiries are dealt with in a timely, polite, professional, and confidential manner, taking action or escalating as appropriate.
* Proactively manage patient pathways in line with Trust and NHS RTT 18-week standards.
* Ensure all procedures are followed regarding data capture for service-specific outcomes in line with Trust-agreed timelines.

Person Specification
Qualifications and Knowledge
* Good general education including English at GCSE (Grade C or above) or equivalent.
* Good standard of spoken English.
* Strong IT skills in Microsoft packages, including Word/Excel, to NVQ level 3 or RSA III or equivalent experience.
* Experience of waiting list management.
* Working in a busy environment dealing with peaks of high workload.
* Understanding of confidentiality in the workplace.
* ECDL qualification or equivalent.
* Knowledge of medical terminology.
* Knowledge of NHS Administration systems.
* Data Protection Act 1998.
* Working knowledge of the local Patient Access Policy.
* Understanding of NHS plan and waiting targets.
* Understanding of recruitment and selection processes.
* Understanding of HR policies, including sickness management.
Experience
* Customer care work experience or previous clerical experience.
* Minimum of 6 months experience working with an NHS Patient Administration System.
* Ability to accurately and efficiently input and retrieve information on a computerized system while adhering to complex local and national policies and guidelines.
* Experience of scheduling and diary management.
* Validation of monthly statistics.
* Experience of handling inbound and outbound telephone calls of a potentially sensitive nature.
* Clerical experience in a healthcare environment.
* Relevant experience in a hospital setting.
* A flexible approach to managing workload with multiple deadlines.
* Previous experience of booking meetings and taking minutes.
* Experience of dealing with confidential documentation.
