Senior Administrator 37.5 (full time) Senior Administrator – Key Role in Service Delivery and Client Support QEF Mobility Services, endorsed by the Department for Transport, is one of the UK’s top two providers, conducting over 1,800 mobility assessments annually to help improve independent mobility for disabled individuals and the elderly. The service involves administrators working with a team of clinicians, driving assessors, and Approved Driving Instructors to offer advice, support, information, and practical assessments. We are seeking a detail-oriented and proactive Senior Service Administrator to join our team. This role is key in ensuring the smooth and efficient running of various services within our organization, including co-ordinating the driving school, assessments and the Hubs Mobility Advice Service. Key Responsibilities: Develop in-depth knowledge of all service areas managed through the office, including assessments and the Hubs Mobility Advice Service. Supervise and manage daily administrative tasks to support a client-centred practice, ensuring efficient operations. Oversee accounting processes and maintain an accurate system to monitor project funding, ensuring adherence to standards. Support the recruitment, management, and training of volunteers, ensuring high standards of service delivery. Review and improve administrative processes, recommending efficiencies and best practices to enhance service delivery. Maintain accurate and up-to-date client information in compliance with confidentiality, UK Data Protection Act, and GDPR regulations. Provide relevant, accurate information to callers and visitors, and ensure the information system is maintained. Manage appointments, rosters, and liaise with team leads to ensure scheduling aligns with the needs of the service. Oversee the efficient operation and administration of the Driving School. Complete monthly and quarterly reports accurately and within deadlines, including gathering and producing statistics from the in-house database. Maintain the archive filing system and ensure its up-to-date. Answer telephone calls professionally, screening and directing inquiries appropriately. Assist with the planning, organization, and development of special projects, providing administrative support when required. Key Skills & Qualifications: Strong administrative skills and experience managing client databases and filing systems. Excellent communication skills, both written and verbal. Ability to work efficiently and handle multiple tasks. Understanding of confidentiality requirements and data protection policies. Previous experience in a similar role would be advantageous.
