Role Overview
We are seeking a highly organised, positive, and resilient Personal Assistant to support the Company Director in both business and personal matters. The ideal candidate will be resourceful, solution-driven, and aligned with the company’s values and work ethic, bringing structure to balance the Director’s visionary nature. Forward-thinking, initiative, and flexibility are pivotal in this role to help the business reach its goals by effectively managing administration and keeping the Director focused on high-level objectives.
Key Responsibilities:
1. Administrative Support - Manage the Director’s calendar, schedule meetings, and coordinate travel, optimising time management and maintaining detailed records of appointments and commitments.
2. Organisational Management - Develop and maintain systems for organising files, documents, and essential paperwork, enabling quick and efficient access to critical information. This includes digitising documents and streamlining workflows.
3. Detail Orientation - Assist with detailed planning for meetings, events, and projects, preparing agendas, and ensuring all necessary materials are ready in advance to keep the Director productive.
4. Project Management - Assist in initiating and executing various projects, tracking timelines and deliverables, while providing regular updates and reminders.
5. Communication Liaison - Serve as the main point of contact for internal and external communications, representing the Director with professionalism and a solution-oriented mindset. Handle inquiries and filter information effectively.
6. Research & Analysis - Conduct research and prepare reports aligned with the Director’s vision, focusing on property investments and market opportunities.
7. Property Sales and Portfolio Management - Assist in managing the Director’s and clients’ property portfolios, overseeing property management, sales, and follow-ups to maximise opportunities and maintain client satisfaction.
8. Problem Solving - Anticipate needs and provide proactive solutions, showcasing sound judgement and initiative, especially in navigating the Director's administrative tasks.
9. Travel - Occasional travel to various sites may be required to assist with business needs.
10. Personal/Private Task Management - Support the Director with personal tasks to ensure cohesion between personal and business life.
11. Confidentiality - Handle all sensitive information with discretion, maintaining confidentiality at all times.
Required Skills
1. Proven Experience - Demonstrated experience as a Personal/Executive Assistant in a fast-paced environment, ideally within the property sector.
2. Exceptional Organisation - Strong organisational skills and attention to detail, with the ability to manage multiple tasks simultaneously and prioritise across the Director’s businesses.
3. Communication Skills - Excellent verbal and written communication skills, with the ability to interact effectively with all levels.
4. Proactive Problem-Solver - A proactive, problem-solving mindset with strong initiative, responsibility, and resourcefulness.
5. Passion and Energy - Enthusiastic about the company’s mission and motivated to contribute to its success.
6. Adaptability - Flexible in adjusting to changing priorities, with a willingness to take on new challenges as they arise.
7. Availability - The majority of the role will be office-based, between the hours of 9:00 am – 5:00 pm, however additional work outside of office hours may be required to meet the needs of the business/Director.
8. Driving License - Ability to drive with a full driving licence is essential.
Job Type: Full-time
Pay: £27,000.00-£35,000.00 per year
