The Opportunity
We have an exciting and engaging position for a PMO Administrator to join our PMO function supporting our Defence business unit. As part of the PMO team, you will be an integral part of driving the balance between the needs of the customer and delivering strong financial and delivery performance for the Business Unit. You will achieve this by supporting the Defence sales teams with all aspects of sales opportunity administration.
Added value will be achieved through the simplification and standardisation of business processes; improvement of the accuracy and predictability of forecasts; increase in the responsiveness of sales function to an ever-changing commercial landscape; and application of the relevant controls to ensure consistently performance.
The primary job purpose is:
1. To ensure business success through the provision of value-add services to sales functions across the Business Unit.
2. Improve business performance by identifying and consolidating internal sales related processes and maintaining defined business rhythms and support business change.
3. To provide a ‘Front door’ for knowledge & Information, general guidance, and operations within the Business Unit’s sales functions.
4. Support decision making through the provision of accurate and timely Management Information to BU Leadership and other internal functions.
5. Ensure the BU is adhering to company policy and process through compliance analysis and corrective actions.
The key responsibilities of the role are:
6. Providing a comprehensive administrative service including assisting in setting up workshops, meetings, taking minutes, chasing actions, arranging travel, arranging quotations and purchases, and managing ad-hoc queries.
7. Ensuring all information and documentation is processed, maintained, monitored, and filed.
8. Maintain systems for recording costs, timesheets, purchases, and expenses.
9. Co-ordinate the collation of reports and produce summary reports and packs.
10. Maintain risks, actions, issues, change and dependency registers.
Knowledge, Skills & Experience:
11. Proactive approach and ability to communicate effectively with a wide range of internal and external stakeholders
12. Experience working within a busy PMO or Sales environment
13. Information and Data Management experience
14. Knowledge of Microsoft Office 365 Power suite
15. Previos experience in customer facing organisations, preferably with experience of delivering complex frameworks and programmes
