Job Description – Job Summary
· events project manager position working from a small and very busy North Hampshire based office.
· working in a team alongside other senior events project managers to coordinate & administer UK and overseas events projects.
· full time role, five-days per week 09:30-17:30 with some evenings and weekend event work required.
· flexi hours available between 08:30 and 18:30 per day – upon weekly request and with other team diaries.
· some UK and overseas travel and off-site meeting attendance will be required.
· must have own car & hold a UK driving license and current passport .
Responsibilities and Duties
§ good working knowledge and experience within the event industry.
§ exceptional organisational skills with a methodical and practical approach to all administration tasks.
§ excellent communication skills being able to converse and liaise with people at all levels.
§ ability to multi-task across a variety of event projects managing workload and deadlines.
§ clear understanding of project management to be able to prioritise deadlines and schedules.
§ prepare and manage detailed excel client event budgets including P&L analysis against closing event budgets.
§ maintain a calm and professional approach when client facing, during meetings & events.
§ careful contracting, selecting, negotiating, co-ordination with event suppliers.
§ research and collation of information to prepare detailed creative PPT proposals.
§ meticulous attention to all contract details and information including accounting terms & conditions.
§ health & safety, first aid and other regulatory event documentation.
§ social media management across all platforms.
§ database update and management across – ‘MONDAY’ platform.
§ creative design of sales mailers and campaign management assistance.
§ UK and overseas event travel.
§ excellent telephone manner / clear English speaking.
§ attend industry MICE forums and familiarisation trips.
§ attend networking events representing both company brands.
§ understanding and creative approach to client briefs enabling formatting of proposals.
§ client meeting attendance alongside other event project managers.
§ weekly team meetings – organising agendas including management of project allocations.
§ team working in busy and at times noisy, buzzing open plan office environment.
§ demonstrate management skills – to motivate, direct and develop junior colleagues.
§ work under strict NDAs for private clients and some corporate businesses.
Work Experience
§ ability to demonstrate a minimum of three years’ work experience in similar role.
§ previous experience essential either in a similar role based within an agency or client office or within a hotel /venue events office required.
§ overseas event management experience ideal.
§ understanding of VIP and ultra-high net worth client projects
Education and Skills
§ English language & Maths GCSE grades
§ Social media management across all platforms
§ Hotel & Catering or Event Management / Hospitality qualification.
Knowledge & experience managing delegate registration platforms ideal but not essential
§ PPT / WORD skills including creative design - essential.
§ EXCEL spreadsheets and budget management – essential
§ First Aid certificate ideal but not essential
§ Database management – MONDAY CRM
