Job Description:
* Efficiently manage the Managing Director’s schedule, coordinating meetings, calls, and travel.
* Oversee guest security, visitor sign-ins, and provide health & safety briefings.
* Manage onboarding and offboarding processes for new and departing employees.
* Coordinate stakeholders for maintenance, manage fleet and mileage.
* Organize office events, track expenses for office operations, and lead administrative projects, while ensuring health and safety compliance in the workplace.
* Prepare documents, including reports and presentations, draft and proofread correspondence, and record meeting minutes with follow-up on action items.
* Assist with high-priority projects, and provide administrative support to leadership and staff.
* Minimum Requirements: Minimum of three years of experience in a similar role (Office Manager, Executive Assistant, or equivalent), ideally in a fast-paced SME or Med Tech environment.
* Excellent verbal and written communication, strong organizational, time-management, problem-solving skills.
* Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook) and comfortable with basic IT troubleshooting; experience with expense systems (such as Concur) is advantageous.
* Skilled in building positive relationships across all levels and maintaining confidentiality, with a high level of professionalism in managing sensitive information and diverse team dynamics.
