The Theatre department is looking for a receptionist who will provide high quality, patient-focused care to the Theatre Department.
Working in this role, you will be part of our extensive multidisciplinary team and be a key contact for patients and visitors to the department. We are looking for someone who prides themselves on customer care while displaying empathy and respect. We want to ensure that those who come to Theatres are greeted courteously and directed to the correct person.
You will provide high quality administrative assistance to the department and support the team in achieving goals for Theatres. All training will be provided to equip you with the skills you will need to be successful within the role.
Main duties of the job
1. Provide a friendly and comprehensive reception service to all patients and staff visiting the department.
2. Maintain confidentiality in dealing with calls or visitors directly and ensure to refer enquiries to the appropriate member of staff.
3. Deal efficiently and courteously with colleagues and all visitors at all times as per departmental standards.
4. Forward any complaints or complex situations to the Theatre Manager, Team Leader, or daily Theatre Co-ordinator.
5. Collate and distribute theatre lists effectively, liaising with secretaries and other administration staff.
6. Be responsible for accurately inputting data onto relevant databases and collating data for clinical audit.
7. Liaise with the multi-disciplinary team within the department to help maintain patient flow through theatre.
8. Maintain appropriate access to the clinical area, overseeing visitor access and recording in the theatre visitor book.
9. Be responsible for signing of delivery/collection service requisitions of medical equipment and informing relevant staff accordingly.

Person Specification
Qualifications
* 5 GCSEs or equivalent grades 1-C (including English and Maths)
* European Computer Driving License (ECDL) or equivalent qualification or experience
* Level 3 Vocational Course in Administration or Customer Service or equivalent qualification or experience in both areas
* RSA III typing or equivalent
Experience
* Previous experience of using Microsoft Office applications
* Knowledge of secretarial or administrative procedures and systems
* Previous experience of working in an office environment
* Previous experience in minute taking
* Previous experience of audio typing
* The ability to communicate basic or sensitive information to colleagues, patients, and relatives
* The ability to pay close attention to detail in written and electronic communication and information storage
* The ability to work as part of a multi-disciplinary team to ensure high quality secretarial and administrative support
* Utilise personal problem-solving skills to assist patients, carers, and staff
* Able to organise, prioritise and adjust own workload in relation to the priorities of the department over timescales in excess of 1 week
* Demonstrates personal duty of care in relation to the safe use of equipment and other resources
* Maintains quality in own work and encourages others to do the same
* Ability to share knowledge and skills with other team members
* Previous experience of working in the NHS
* Previous experience of using medical terminology
* Previous experience of Lorenzo/EMR/Bighand
