About the role We are seeking a junior ITSM Specialist / Workplace Support Engineer to support the business as we scale, bringing this capability in-house as we look to rationalise our shared services and external support models. Reporting directly to the Chief Technology Officer (CTO), this role will act as first-line IT support for the business, resolving technical issues and working closely with external ITSM and security providers to ensure smooth operations. Over time, you will take increasing ownership of our Microsoft 365 environment, including the administration and control of SharePoint, Teams, Exchange, and Azure. The ideal candidate will have a passion for technology, a proactive approach to problem-solving, and the ambition to take responsibility for IT systems in a fast-paced, growing company. Key Responsibilities: First-Line IT Support: Act as the primary point of contact for IT support requests from staff, resolving day-to-day technical issues promptly and effectively. Escalate complex issues to external IT support providers and coordinate their resolution. Troubleshoot hardware and software problems on laptops, desktops, and mobile devices to minimize disruption to employees. Microsoft 365 Administration: Gradually take ownership of the Microsoft 365 tenant, including administration of Teams, SharePoint, Exchange, and Azure. Manage user accounts, permissions, and licenses within the Microsoft 365 environment. Ensure Teams and SharePoint are optimized for collaboration and file management, implementing an efficient structure with appropriate access controls. SharePoint Management: Manage SharePoint sites, including defining and implementing a scalable folder/file structure with permissions tailored to departments and individuals. Create and maintain a SharePoint-based company wiki as a centralized knowledge base for resources, policies, and procedures. Monitor usage and troubleshoot issues to ensure effective use of SharePoint across the business. IT Security & Compliance: Work with external security providers to ensure the company meets ISO accreditation and Cyber Essentials certification requirements. Support the implementation of IT security practices such as Multi-Factor Authentication (MFA), data loss prevention (DLP), and access controls. Regularly review and improve security and compliance processes in coordination with shared services providers. Onboarding and Offboarding: Facilitate IT onboarding for new employees, including device setup, account creation, and user permissions. Manage offboarding processes to ensure accounts are securely deactivated, and company devices are retrieved or wiped. Train new staff on company tools such as Microsoft 365, Teams, and SharePoint to ensure a smooth start. Asset Management: Maintain the hardware asset register, ensuring all company laptops, phones, and devices are tracked, updated, and secure. Coordinate the procurement of new hardware and software as needed. Monitor asset lifecycles and ensure timely replacements to avoid downtime. External Provider Management: Collaborate with external ITSM and security service providers to resolve issues, plan upgrades, and implement new solutions. Act as the key liaison between the business and external providers, ensuring effective communication and accountability. Monitor service levels and identify areas for improvement. Other Technology-Related Duties: Take ownership of any other technology or workplace-related tasks that reasonably fall within the scope of the role, such as assisting with office technology setups, evaluating new tools, or contributing to cross-team IT projects. Qualifications: Education: A degree in Information Technology, Computer Science, or a related field (or demonstrable interest and experience in IT). Technical Skills: Familiarity with Microsoft Windows and Office 365. Strong interest in learning Microsoft 365 administration (Teams, SharePoint, Exchange, Azure). Knowledge of basic IT security principles (e.g., MFA, data protection) is beneficial. Soft Skills: A proactive, self-motivated attitude with the ability to take ownership of tasks and projects. Strong problem-solving skills and the ability to troubleshoot technical issues independently. Excellent communication and organizational skills, with a focus on delivering excellent support to users. Mindset: A strong interest in IT systems and a desire to take responsibility for improving processes, security, and systems over time.
