JOB TITLE: Office Manager
HOURS: Full-time, 35 hours per week
ANNUAL LEAVE: 35 days per year (inc. bank holidays)
REPORTS TO: Chief Executive Officer
DESCRIPTION:
General Office Duties:
* Responsible for the upkeep of all administrative processes and systems for Wild Things (extensive filing system, data entry, managing bookings, bookkeeping, collation and recording participant details and feedback, entering and maintaining an effective Customer Relationship Management database).
* Responsible for ensuring that the office space, equipment, ordering stationery, postage and recycling schedules are maintained, clean and secured.
* Maintaining a timely and accurate Office Calendar, scheduling meetings, liaising with colleagues to ensure the smooth running of the charity.
Communicating with the Public:
* First point of contact to the General Public (dealing with and directing enquiries by emails, post and telephone).
* Promoting and booking courses with schools, other organisations and individuals, usually by telephone with the occasional off-site visit.
* Collating and arranging all support paperwork for the Field Team activities together with clients (booking and consent forms, chasing feedback forms and payments, filing relevant paperwork).
* Liaising with our external suppliers (landlord, printer specialists, IT experts).
* Responsible for defined logistics surrounding off-site Field Activity e.g. booking event venues and accommodation where necessary.
Basic Book-Keeping Duties:
* Organising timely payments and basic financial data entry.
Basic IT Duties:
* Responsible for being familiar with the equipment and systems running in the Wild Things office.
* Trouble-shooting abilities and liaising with IT support people where necessary.
Qualifications and Experience:
* Excellent organisational and interpersonal skills.
* Sound knowledge of Microsoft Word and Excel.
* Ability to thrive in a team environment, to work well under pressure and to manage personal priorities is essential.
* A level of problem-solving and trouble-shooting skill required (especially regarding IT-related work).
* Experience of using Access, accessing database via SQL queries.
* Experience with Sage.
* Experience in managing IT systems within an office environment.
* Driver's License.
All Wild Things office staff are required to undergo a Basic Disclosure Check due to the nature of our work.
