Job Description
This role is responsible for the day-to-day management of workplace operations. The incumbent may seek appropriate levels of guidance and advice to ensure delivery of quality outcomes.
OVERALL PURPOSE OF THE JOB:
Support the Corporate Real Estate Management activities at Tata’s International offices, including the management of ON/OFF roll staff responsible for maintenance, reception, courier services, security, and supplier contract management activities. Also supports the management of subtenant requirements where applicable.
Key Responsibilities:
1. Prime interface for Admin office complaints.
2. Manage all day-to-day aspects of the cleaning contract at all sites, ensuring required service levels and standards are maintained.
3. Provide Admin and/or Financial support to the Corporate Real Estate team related to real estate invoices from the region.
4. Support Corporate Real Estate Management with all aspects of CAPEX projects related to admin offices.
5. Raise purchase orders and follow up with vendors.
6. Act as a link between internal customers, subtenants, and landlords to ensure prompt and professional resolution of any issues that arise.
7. Ensure all meeting rooms are tidy, properly stocked with stationery, and liaise with IT to ensure cable management is organized and Audio/Video equipment is functional.
8. Manage a range of supplier contracts, including stationery, furniture, vending machines (e.g., printers), tea/coffee supplies, and business stationery ordering. Conduct monthly account/expenditure review meetings for all sites.
9. Ensure evacuation plans and required drills are in place with landlords and/or other mandated authority groups.
