The BNS Property Service team provides a range of services that encompasses the industry and legislative requirements that best enhance property values. BNS offers an extensive spectrum of specialist FM services, focusing on the procurement and management of premises support services, proactive and reactionary maintenance and Facility Management Consultancy.
Your role as Facilities Coordinator will be to assist with the planning and coordination of premises support services, primarily for a key client but also supporting additional FM services as required. You will be assisting your FM colleagues with the procurement and instruction of appropriate maintenance and reactive works, via online systems and in person where appropriate.
The Facilities Coordinator will be the day-to-day contact for our client and as such must demonstrate strong communication skills with a high level of customer service within a fast-paced challenging environment.
Ideally, you will have previous experience of supporting the delivery of outsourced FM services to high standards in the commercial and residential property sector, along with good IT skills, familiarity with CAFM Systems, and a strong service ethic. You will be able to work on your own initiative and as part of the team.
The role will include:
* Operating and supporting the Property Services helpdesk function applicable to the client's contract which includes liaising with tenants, residents, clients, and contractors over the progress of works and services.
* Assisting the FMs with ensuring buildings meet health and safety, environmental, and quality requirements that comply with current legislation, contractual, and industry standards through onsite inspections, assignment, and management of required works.
* Working with the contracted supply chain to ensure all maintain their approved supplier status.
* Ensuring that all necessary documentation (certificates, reports, photos etc.) are provided by suppliers in a timely fashion, kept on site, and recorded through online systems.
* Reviewing contractor’s quotations and invoices for accuracy.
* Supporting the Facilities Manager with Contract Management including attending review meetings.
* Assisting with and coordinating major works projects.
Report to:
You will report directly to the Head of FM and the account Facilities Manager.
Experience, Knowledge & Skills:
* At least two years of property services experience.
* Excellent IT skills – Word, Excel, Outlook, and bespoke packages.
* High level communication and interpersonal skills both written and spoken.
* A methodical approach with attention to detail.
* Self-motivated and passionate about working as part of a team.
* Confident and diplomatic.
* Proactive, receptive, and adaptable to change whilst being diligent and providing ideas to encourage growth and efficiencies.
* Experienced with CAFM systems.
* Driving Licence.
Working Hours:
09:00 to 17:00 Monday to Friday.
