We are seeking an organised and proactiveMedical Receptionist / Administrator to join our team. This role combines front-desk reception duties with administrative responsibilities, ensuring the smooth operation of our medical practice and excellent patient care. Key Responsibilities Reception Duties: Open and close the surgery, ensuring security procedures are followed. Ensure the telephone system is operational each morning and switched to the out-of-hours service when closing. Answer calls, take accurate messages, and direct queries appropriately. Greet and assist patients and visitors, ensuring a welcoming environment. Register new patients and update records accurately. Manage appointment bookings and monitor patient flow. Handle requests for home visits and process prescription requests within two working days. Assist with emergencies, alerting clinical staff when necessary. Explain practice procedures to new and temporary patients. Process payments for non-NHS services and issue receipts. Manage incoming and outgoing mail, scanning, photocopying, and shredding documents as needed. Ensure the waiting area and consultation rooms are tidy and well-maintained. Record and notify staff of patient deaths.Administrative Duties: Handle, code, and organise clinic letters for efficient information flow. Manage the practice email inbox, responding to patient and staff queries. Use the SystmConnect platform to allocate patients to the appropriate clinician. Summarise patient medical records for accurate and accessible data. Generate drug monitoring reports to support safe prescribing. Enter and manage cervical and bowel screening results, sending reminders as necessary. Perform premises checks, including emergency lighting, water temperature (Legionella prevention), fire extinguisher inspections, fridge temperature monitoring, and cleaning audits.
