Job Description Summary
Responsible for following all admitting policies and procedures. Performs a variety of Admitting/Administrative tasks to arrange the registration of patients of all ages to the Hospital. Acts as a resource in providing all customers with the highest level of service.
Job Responsibilities
1. Functions with ease in all areas of the department, including MRI, Stetson and Cohasset Departments. Completes all registrations in a professional, accurate and customer-oriented manner.
1. Writes correct information on Patient Name Band, puts on wrist.
2. Accurately selects correct medical record number in the computer system from the PIDX identifying patients by name, birth date and Social Security number.
3. Verifies with patient all demographic information and conducts personal interview in a professional and timely manner.
4. Obtains signature for hospital consent and witnesses signatures by signing name, date and time on form.
5. Asks all patients about the status of Massachusetts Health Care Proxy and enters this information into the computer system.
6. Registers and pre-registers into the computer system from the Outpatient Scheduling System or patient questionnaire.
7. Prints hospital outpatient registration forms.
8. Understands the impact on hospital operation of data collected.
9. Retains and understands complex information.
10. Explains to patient about Mass Health Care Proxy.
11. Understands Radiology Reports for purposes of scheduling and entering proper radiology exam.
2. Obtains information from patient health insurance or managed care identification card.
1. Verifies insurances through Point of Services devices.
2. Selects insurance plan code and enters proper priority.
3. Enters policy number, group number from insurance card, organization, and all necessary telephone numbers.
4. Enters authorization obtained from insurance carriers on the treatment authorization field for reimbursement.
5. Enters insurance name, address, and telephone number on the insurance screen for billing and reimbursement.
6. Enters all financial and reimbursement information in account notes.
7. Understands coordination of benefits for insurance.
8. Understands consolidated billing requirements.
9. Is aware of fraud & abuse as it pertains to collecting insurance information.
10. Updates patient status in a timely manner to ensure proper coding and billing.
3. Greets and receives patients, escorts patients to specific areas, assists patients into wheelchair and pushes wheelchair patients to designated hospital departments.
1. Greets, receives, and escorts patients/visitors in a friendly, caring, and professional manner at all times.
2. Provides wheelchair assistance to patients/visitors when necessary.
3. Ensures specified directions are given at all times.
4. Acknowledges patient’s departure professionally.
4. Responsible for distributing required handouts to patients or their representatives.
1. Offers all patients Health Care Proxy information.
2. Assures Medicare patients, or their representatives, are given “Important Message to Medicare Patients.”
3. Offers information on Free Care to all eligible patients.
4. Ensures all patients have signed the HIPAA acknowledgment Form and offers a copy of the policy to the patient or their representative.
5. Coordinates booking and call backs to patients.
1. Is familiar with and understands protocols for booking exams.
2. Uses the Meditech scheduling system for appointment booking.
3. Controls booking activities.
4. Performs ADT functions.
5. Calls patients at home for return visits; instructs patients to call physicians for exam orders when necessary.
6. Communicates with office staff, nursing staff, and physicians in a considerate, helpful, and courteous manner.
7. Instructs patients on preparation when applicable.
8. Instructs patients to bring prior mammogram studies if done at an outside facility.
6. Maintains forms in all fax/copy printers at all times, which may require lifting or carrying cases of forms.
1. Assures forms are in printers correctly at all times.
2. Must be knowledgeable to start printers and embossing systems.
3. Replaces cartridges when needed.
7. Assists, retrieves, and maintains a patient’s medical history relating to Breast Care Services, MRI, US, and/or previous x-ray exams.
1. Retrieves patients' prior medical history before their appointment.
2. Retrieves old x-ray exams and files completed cases.
3. Assesses the need and desired waiting time between exams prior to booking.
8. Maintains supplies, laundry, and forms.
1. Notifies supervisors of supply needs.
2. Orders daily laundry needs from the hospital.
3. Maintains the daily laundry in a neat, orderly manner.
4. Ensures all forms are available.
9. Technology – Embraces technological solutions to work processes and practices.
1. Verifies information and exams performed using computer systems Meditech and Amicas.
2. Updates and changes exam descriptions to reflect actual exams performed.
3. Makes necessary changes to exam information in all computer systems to ensure proper flow of correlated data.
10. Safety Awareness – Fosters a “Culture of Safety” through personal ownership and commitment to a safe environment.
1. Successfully answers safety questions in the annual mandatory education program.
2. Understands individual roles/responsibilities during hospital codes (e.g., Code Green, Code Red).
3. Utilizes proper body mechanics when performing all aspects of the job.
4. Operates equipment safely.
5. Maintains a neat, organized work environment.
6. Knows where to find material safety data sheets (MSDS) for items used to perform the job.
Minimum Education - Preferred
High school diploma. Two (2) years of college preferred.
Minimum Work Experience
Minimum of two years registration experience. Medical terminology and computer experience preferred. Strong telephone and interpersonal communication skills. Demonstrated skills in customer service. Insurance experience preferred.
