Job Description:
Perform all job file coordination tasks related to customer calls, job monitoring, tracking, project manager communications, and audits of jobs. Create preliminary estimates and job file backup. Perform general office duties, such as drafting correspondence, filing, and creating reports.
Responsibilities:
1. Monitor job file status and job file audit status
2. Maintain familiarity with insurance carrier specifications and preferences
3. Monitor and ensure client requirements are followed
4. Review and validate initial field documentation
5. Contribute to & edit preliminary estimate
6. Daily job file coordination, including preparing job file reports, performing job file backup, and completing job file audit process
7. Maintain internal and external communications
8. Complete and review job file documentation for final upload and the audit process
9. Perform job close-out
Qualifications:
1. Experience in the commercial cleaning and restoration or insurance/service industry
2. 2+ years of administrative or office-related experience and business experience
3. Experience with writing estimates, job file processes, and quality assurance, a plus
4. Outstanding written and verbal communication skills, including proper pronunciation and grammar, and a consistently courteous and professional tone of voice at all times
5. Ability to remain calm and professional during tense or stressful situations
6. Excellent organizational skills and strong attention to detail
7. Self-motivated and goal-oriented
8. Capability to work in a fast-paced, team-oriented office environment
9. Proficiency in Microsoft Office (i.e. Outlook, Word, Excel)
10. Ability to learn new software, including Xactimate and proprietary software
11. Minimum of HSD/GED, Associates/bachelor’s degree preferred
12. Ability to successfully complete a background check subject to applicable law
