Support Secretary (Speech & Language Therapy)

The Community Speech & Language Therapy Service at Alder Hey Children's NHS Foundation Trust covers Sefton and Liverpool across 3 administrative bases, and we are looking for a support secretary / administrator to join the growing admin team. The position requires the successful candidate to respond confidentially, effectively, and efficiently to telephone & email queries from clinical and non-Clinical staff and service users in a professional manner. To provide general administrative and secretarial support to the service. Support the day-to-day organisation of the clinicians' diaries by ensuring that appointments are scheduled in a timely manner using the Trust's Patient Administration System. Attending meetings as required taking and typing up minutes within locally agreed timescales. To deal effectively with all incoming and outgoing correspondence, including answering of phones.
Main duties of the job
The post holder will be expected to work with some supervision from the Pathway Co-ordinator on a day to day basis, though still exercising independent judgment and using their own initiative. Confidentiality must be maintained at all times when dealing with patient/staff information. To provide general administrative and secretarial support to the service, including logging referrals and scanning documents. Support the day to day organisation of diaries by ensuring that appointments are scheduled in a timely manner. The post holder will provide a confident and professional service to all patients and their parents/carers, as well as other professionals whilst supporting them throughout their care.

Person Specification
Education and training
* Good standard of education - minimum of 3 GCSEs (or equivalent) at grade C or above including English Language.
* NVQ Level 3 in Business Administration or equivalent knowledge/experience (or working towards)
* Driving license
Experience
* Experience of a secretarial/administrative role providing general provision of secretarial/administrative duties in a challenging and constantly changing environment
* Experience in planning and organising meetings and taking minutes
* Experience of maintaining and setting up database
* Experience of providing secretarial/administrative support to a team
* Experience of working within an NHS environment.
* Experience of EMIS / Meditech / Other electronic clinical record systems
Knowledge
* Knowledge of computer packages e.g., Word, Excel, Outlook and PowerPoint
* Ability to use email and maintain and update electronic diaries
* Knowledge of Data Protection and understanding of the need to maintain strict confidentiality
* Previous experience in the use of EMIS, Meditech and Medisec.
