The Role: As an Administrator with Throp Financial, you will provide administrative support to the practice, paraplanners and advisors to ensure the efficient processing of business and effective management of day to day tasks. This ensures that our clients receive a high level of service when contacting the practice. As an Administrator, you will be responsible for: Directing Mail to the relevant Case Handler Maintaining literature stock within the office, and scanning/saving all incoming mail. Ensuring all documentation is relevant and kept up to date. Maintaining client files in both paper format and electronically, updating as and when necessary and remaining in line with GDPR. Keeping all client records up to date both on internal and external systems and with relevant providers. Leading enquiries to be recorded, noting full name, email address, home address & source on Concert, both inbound and outbound calls. Preparing prospect/existing client files for face-to-face meetings and creating client packs for formal in person and remote meetings. Forward planning, and ensuring files are fully reviewed and LOA's are up to date. Contacting providers to log Letters of Authority and subsequently chase providers for information - then liaise with Open Work and Advance. Producing monthly performance graphs on behalf of Advisors. Keeping in contact with both client and advisor to update on progress of transfers etc. Writing SR with assistance from the business. Contacting providers to log Letters of Authority, and chasing providers for information accordingly. Assisting in finding leads, engaging with enquiries and passing them accordingly to management. Preparing policy summaries, graphs and literature and any ongoing servicing requirements. Maintaining servicing events on CRM and keeping case file notes and ensure any ongoing situations are accounted for on the client electronic file. Maintaining fund performance presentation, review and update all fund changes where relevant Maintaining client servicing events and maintain Fund Performance Presentations Cash accounts and regular correspondence with clients via email and post. Ensuring the mandatory 2 hours of CPD is completed each month, logging your own developmental files. To succeed in this role, you must have: Have a minimum of 2 years' experience within an administration background or similar Prior knowledge and experience using Microsoft Office platforms such as Word, Excel Prior administrative experience in a Financial Planning environment would be beneficial but not essential Experience working with confidential and discretionary information, formulating reports and delivering to advisors/colleagues promptly. The ability to speak confidently and professionally via both telephones, by letter and email. Knowledge of GDPR guidelines and best practices. The ability to work under pressure, with a can-do attitude and incredible multi-tasking skills.
