Job Summary
We are seeking a highly organised and detail-oriented Administrative Assistant to join our team. The ideal candidate will possess excellent clerical skills and be proficient in various office applications. This role is crucial in ensuring the smooth operation of our office by providing administrative support, managing data entry tasks, and maintaining effective communication within the team.
Job Purpose:
1. To ensure that all incoming and internal patient correspondence is stored on/in patients’ medical record and relevant information is coded.
2. To be able to locate documents as needed by the clinical and non-clinical staff.
3. To carry out administrative related tasks as delegated by the doctors and non-clinical staff.
Job Responsibilities:
1. Take action as directed by other team members.
2. Follow practice protocols to ensure consistent high quality is provided to our patients.
3. Carry out administrative tasks as appropriate to the role.
Scanning Duties:
1. Sort all incoming patient related mail.
2. Scan patient related documents onto their medical records using ‘snowmed’ codes.
3. Forward the document to the doctor or nurse who initiated the referral or who is most appropriate to receive the information.
4. Ensure incoming letters are scanned onto the patient record within a 48/72 hour timescale.
5. Scan all internal paper documents onto the relevant patient record and then store the documents in line with surgery procedures.
Coding:
1. Identify relevant clinical information contained in patient correspondence.
Patient Records:
1. Process incoming and outgoing records.
General Responsibilities for all staff:
The post holder is expected to:
1. Adhere to practice policies and procedures and relevant legislation including the requirements of professional bodies.
2. Attend mandatory training as identified by the practice.
3. Highlight potential development areas.
