Job Title: Medical Receptionist
Reports to: Office Manager
Accountable to: Dr Kumar
Job Summary: To provide the first point of contact to patients and other visitors, enabling access to appropriate services in a professional and courteous manner. To undertake clerical duties as necessary and to enter relevant data onto the computer system. To provide support for clinicians to enable the effective day-to-day running of the practice.
Main Responsibilities
1. Reception:
o Ensure that patients and visitors are greeted professionally and courteously and directed to the appropriate services.
o Deal with queries effectively and efficiently in line with practice procedures.
o Be responsible for the appointment diary and appointment system by making changes and cancellations as requested.
o Divert and restore the telephone service.
o Act as chaperone within a clinical consultation when requested.
o Ensure that all general areas are kept tidy and presentable.
o Ensure all literature and posters within the practice are up to date.
2. Administration:
o Undertake general filing in a timely and accurate manner.
o Undertake photocopying/scanning in a timely and accurate manner.
o Liaise with other agencies such as the ambulance service, hospital clinics, other practices, and community services.
o Open and distribute incoming post in line with practice procedures.
o Complete forms, letters, and referrals as requested by practice staff.
o Generate repeat prescriptions.
o Summarise and tag patient notes as appropriate.
o Manage patient notes in line with practice procedures.
o Complete NHS Email Admin.
o Complete GP Links Admin.
o Return patients' full paper records to the PCSE when a patient has left the practice.
o Take turns in making refreshments.
3. Computer/IT:
o Utilise medical software systems to enable the effective handling of patients and practice information.
o Read and action emails on a daily basis.
o Input data accurately onto patient records and software systems.
