Main Purpose of Job: The Parts & Warranty Administrator will manage parts procurement, inventory control, and HVG warranty administration for our fleet and vendor network. You will ensure compliance, resolve warranty claims, and deliver exceptional support to customers and suppliers. Duties and Responsibilities: Parts Management Assist vendors in identifying and ordering correct parts for trailers and HVG assets. Monitor and maintain stock levels, including impress stock of ECUs and critical components. Collaborate with suppliers to procure parts cost-effectively and ensure timely delivery. Process invoices, address invoice queries, and record savings via credits. Maintain accurate records of parts transactions and provide reports to the management team. Communicate with internal teams and suppliers regarding parts availability, pricing, and new technologies. Warranty Administration Manage HVG warranty claims for trailers and heavy goods vehicles, ensuring compliance with manufacturer guidelines. Verify warranty eligibility, liaise with manufacturers (e.g., SDC, Schmitz, Tiger, MAN, DAF), and submit claims with supporting documentation (repair orders, technical reports). Address operators inquiries about HVG warranty claims, including coverage, timeframes, and claim processes. Track claim statuses, resolve discrepancies, and ensure timely approvals/reimbursements. Generate reports on warranty trends, recovery rates, and cost savings. General Responsibilities Provide feedback to improve parts procurement and warranty processes. Stay updated on HVG technologies, warranty policies, and industry standards (training provided). Job Skills Required: Proven experience in parts advisory, warranty administration, or a similar role, ideally within HVG/trailer/fleet maintenance. Technical knowledge of trailer/HVG components and warranty systems. Strong organisational skills with ability to prioritise tasks in a fast-paced environment. Excellent communication skills for liaising with vendors, customers, and manufacturers. Proficiency in inventory management software and Microsoft Office.
