Office/VMS Administrator
Intercleanse is one of the largest valeting companies in the South of England. Due to continuous growth, we are looking to recruit an Office Administrator to join our Head Office team based in Crawley, West Sussex.
The role will involve supporting several key processes underpinning the business with direct contact with the Directors, Managers, customers and suppliers on a daily basis, as well as other external parties as required. This is a varied role, where every day is different, and you will be part of a dynamic and friendly team.
The position will involve but is not limited to:
1. Answering general enquiries over the phone and via email (inbox and email management).
2. Dealing with customers queries and issues, escalating where necessary.
3. Data entry onto our in-house systems.
4. General administrative support for the whole team on the office's day-to-day functioning, including weekly payroll, setting up contracts and producing weekly reports.
5. Management of consumable stock and departmental purchasing.
6. Ordering and recording PPE and uniform, stationery and other office consumables.
7. Counting and sorting deliveries.
8. Processing and checking invoices.
Required Skills and Experience
1. Administrative experience is desirable but not essential as full training will be given.
2. Experience and confidence in answering telephone calls in a professional and polite manner.
3. Excellent written and verbal communication skills with experience using the Microsoft package, including Outlook, Word and Excel.
4. Working knowledge of Sage would be a distinct advantage, although training will be provided.
5. Highly focused and accurate with a keen eye for detail.
6. Professional and friendly demeanour.
7. Able to work in a fast-paced and deadline focused environment.
8. Effective and competent organisational skills.
9. Good problem solver, able to respond quickly to changing business needs.
10. Flexible/adaptable working approach and ability to remain calm under pressure.
11. Ability to work as part of a team but show individual accountability.
12. Willingness to learn new tasks and the ability to take on and accept responsibility.
Working hours are Monday to Friday 08.00 – 17.00.
