To provide high-quality administrative, clerical and secretarial service within the Child Development Team, assisting patients and their carers who access the Trust services. To help deliver a high quality reception service for all who access the Trust services, and to take responsibility for all aspects of the smooth running of the service(s). To operate a desktop PC/laptop, drafting and typing of clinical letters, assessments, reports and any general correspondence as requested by the service. To support organisation of monthly meetings as requested, including preparation of agendas, taking and transcribing minutes as required. To receive telephone calls and emails from outside agencies, deal with them if possible or refer on as appropriate. Provide statistics and departmental reports, as and when required. Ensure compliance with local policies and maintain accurate records. Deal with correspondence on behalf of the management team as necessary. To have a working knowledge of the GDPR, and its requirements, in respect to confidentiality for both patients and staff and ensuring any computerised information system is maintained as requested. Deal with issues that arise appropriately, including enquiries or complaints from members of the public and patients. Where appropriate refer to another officer of the Trust, ensuring that no issue is inappropriately delayed in being actioned because of the absence of the management team. To manage problem situations as and when they arise, this includes technical issues, and service user and carer situations. Ensure good working relationships with all staff, the organisation and outside agencies. Participate and contribute as appropriate to the overall service provided by the administration support dept. To plan and coordinate your workload to ensure all deadlines are met and objectives achieved. To maintain and manage patient tracking lists. To maintain good standards of professionalism. Responsible for ensuring compliance with Trust policies and local protocols for Data Protection, Health and Safety, Security and Fire Safety within the administration team. The post holder will be required to use their initiative in all aspects of secretarial and clerical work to efficiently prioritise work and meet deadlines, as the service requires. Communicate clearly and effectively, complex and often sensitive information to a range of staff, internally and externally across the organisation, service users, relatives / careers, and other stakeholders, where sensitivity, tact and persuasive skills maybe required. Use initiative and support the general management of the administration department by providing a focal point for queries in the absence of senior manager.
