Sitehop is looking to hire an Executive Assistant to the CEO. You will play a crucial role in ensuring the CEO’s time is optimized for maximum impact. You’ll serve as a trusted partner, managing schedules, coordinating strategic initiatives, and enabling seamless communication across the executive team. This role requires a highly organized, proactive, and adaptable professional who thrives in a fast-paced, high-growth environment.
Job Duties and Responsibilities
Executive Support & Time Management
1. Manage the CEO’s calendar, prioritizing meetings, travel, and strategic initiatives.
2. Proactively anticipate needs, ensuring the CEO is prepared for all engagements.
3. Serve as a gatekeeper, balancing priorities and protecting time for deep work.
Strategic Coordination & Execution
1. Track key objectives, deadlines, and follow-ups related to company OKRs, ensuring progress is aligned with goals.
2. Work closely with the Head of Operations and Head of People & Talent to support strategic projects and initiatives.
3. Assist in preparing reports, presentations, and briefing materials for board meetings, investor updates, and internal leadership discussions.
Communication & Stakeholder Management
1. Act as a liaison between the CEO and internal/external stakeholders, ensuring effective and timely communication.
2. Draft, review, and manage executive-level correspondence.
3. Maintain confidentiality and handle sensitive information with discretion.
Operational Efficiency & Process Improvement
1. Implement and optimize administrative processes to increase efficiency in executive operations.
2. Identify bottlenecks and recommend solutions to enhance workflow and productivity.
3. Support special projects, including event planning, company-wide communications, and operational initiatives.
Leadership Support & Culture Champion
1. Support executive team meetings, including agenda setting, action item tracking, and follow-ups.
2. Assist in fostering a high-performance, mission-driven culture within the leadership team.
3. Proactively solve problems and navigate dynamic business challenges with a solution-oriented mindset.
Essential Skills and Experience Required
1. Experience: 5+ years as an Executive Assistant, Chief of Staff, or in a similar role supporting C-level executives, preferably in a start-up, scale-up, or tech environment.
2. Ability to anticipate needs, problem-solve, and think several steps ahead.
3. Strong written and verbal communication skills, with the ability to engage confidently with internal and external stakeholders.
4. Capable of managing multiple priorities, deadlines, and tasks with precision.
5. Trusted to handle sensitive company and personnel information responsibly.
6. Comfortable with productivity and collaboration tools (e.g., Microsoft, Outlook, Teams, Monday.com, etc.).
7. Thrives in a fast-moving, constantly evolving start-up environment.
8. Ability to work well with leadership teams and across all departments.
Desirable Skills
1. Experience in other areas of business is highly advantageous: Marketing graphics, social media, office support, employee engagement, company communications etc.
