Finance Assistant, £26k to £30k per annum depending on experience and skills Place: In person at Head Office at Bradley Hall Trading Estate Work Days: Monday to Friday Work Hours: 8:30 to 16:30 including 45 minutes unpaid lunch (36.25 paid hours per week) Holidays: 24 days Annual Leave 8 days Bank Holidays Salary: £26k to £30k per annum depending on experience and skills Overview: This is an excellent opportunity to join our clients friendly and experienced team in Standish. As a Finance Assistant in a small team, you will report to the Finance Manager and play a crucial role in accurately processing the transactions of several companies within group and supporting your team and other colleagues within the business. You will be keen to embrace the companies values, learn new skills, understand how the businesses you are involved with operate and proactively contribute to improving processes and procedures within the Finance team and wider business. Key Responsibilities: 1. Sales Ledger and Credit Control: Process payments on the relevant Sales Ledger Customer account each working day, from the previous day's Bank Statement. Ensure Customer payments received are allocated correctly. Respond to Customer Account queries in a timely fashion and collaborate with other departments or escalate to an appropriate Manager if required Send Statements and chase overdue Customer Debtor balances each week and collaborate or escalate as required to ensure payment is received as soon as possible after becoming due. Attend weekly Aged Debtors meeting for each Company you are involved with, update the follow-up actions and carry them out during the week 2. Purchase Ledger: Obtain approval and the nominal code from the PO, Budget holder or appropriate Manager for each Supplier Invoice and process it on to the system in a timely fashion, to ensure it can be included on the BACS/ACH payment run when it's due. Save copies of Supplier Invoices, Credit Notes, Statements and other supporting pdf documents in the shared OneDrive/Teams folders. Reconcile Supplier Statements balances to their Purchase Ledger Supplier account, request copies of any missing invoices and resolve any queries with the Supplier. Prepare weekly Supplier BACS/ACH Payment Run for amounts due, obtaining approval of the payments from an appropriate Manager, amend it as instructed, and then process. Once Supplier Payments have been approved via online banking, process the payments on the Purchase Ledger Supplier accounts with the date they will be taken out of our Bank account. 3. Bank Payments and Reconciliation: Process Bank Payments via online banking after obtaining the nominal code and approval from the Budget holder or appropriate Manager, and after independently checking bank details, to avoid fraudulent scams. Once the payment has been successfully processed via online banking, process the transaction on ERP system and save copies of supporting pdf documents in the shared OneDrive/Teams folders. Update the Bank Reconciliations (including Trade Loans and 'virtual' Bank accounts) via the Bank module for each Bank account every working day, from the previous day's Bank Statement. Download and save the full month's Bank Statement for each Bank account (including Trade Loans and 'virtual' Bank accounts) in the shared OneDrive/Teams folders 4. Month end Run Debtors, Creditors reports and obtain copies of bank statements for all accounts. Prepare Month End Debtors, Creditors and Bank Reconciliations, and resolve any differences or confirm if any are timing differences. Once the above core reconciliations have been satisfactorily concluded, close the month relating to Sales, Purchases and Bank (including Trade Loans and 'virtual' Bank accounts). Balance Sheet Reconciliations and monitoring Finance Team KPIs: Monitor key performance indicators (KPIs) set for the Finance Team for each Company you are involved with and take action to ensure the KPI targets are met in relation to housekeeping of Sales Ledger Customer accounts and Purchase Ledger Supplier accounts. Prepare Balance Sheet Reconciliations each month to ensure accurate accounting is maintained throughout the year. Assist Auditors at Year End Provide information requested by the Auditors or Accountants during their preparation of the Year End Financial Statements and Tax Computations. Additional Roles and Responsibilities Assist your Team, Directors, Managers and other colleagues with projects and ad hoc requests, with enthusiasm and a smile. Skills required: Excel (filters, sumif, vlookup, pivot table experience preferred); ERP System experience (including use of Purchase Ledger, Sales Ledger and Nominal/General Ledger); Credit Control/Debt chasing experience.
