About the role
We are looking for an enthusiastic Administrative Assistant to provide administrative support to our Clinical Trial Operations Manager, Finance Manager and the Medical Oncology Clinical Trials Unit.
This role requires a candidate with outstanding teamwork and communication skills, along with a keen eye for detail and the ability to multitask.
This is a Full-Time role; based on-site at the Ingham Institute, offering a 12-month contract in the first instance (with possibility of extension, based on funding).
As an Administrative Assistant, you will undertake some of the following:
* Diary, calendar management and expenses for Clinical Trial Operations Manager.
* Managing the SWSLHD Medical Oncology mailbox.
* Updating information in systems and databases.
* Tracking and filing accounts payable invoices and supporting other finance activities.
* Running assigned reports from systems (e.g. metrics reports, weekly patient list).
* Assisting with departmental activities, such as organising team and management meetings, training support (e.g., room bookings, meeting minutes, catering, assembling training materials and more).
The ideal candidate will meet the following essential criteria:
* Well-developed verbal, written and virtual skills, including the ability to engage with a variety of audiences, tailoring communication to suit the relevant audience.
* Excellent organisational skills.
* Ability to co-ordinate, collate and organise information.
* High-level proficiency in Microsoft Office suite, including Excel and Word.
* Strong work ethic and professionalism.
* A positive, “can do” attitude.
* Strong problem-solving skills, which are solutions focused.
* Proven teamwork skills. A real team player, who takes their own initiative in supporting and achieving team goals/objectives.
* Meticulous, with a strong attention to detail.
* Personal alignment with Ingham Institute values.
