Job Purpose An increasing focus through our renewed Transformation direction and future state, as outlined in the “Transformation Chapters”, is embedding more successful outcome delivery across the University. With that in mind, we are establishing a new Transformation Transition Team to drive sustainable change. The Transformation Transition Leader will play a pivotal role within the wider Transformation Portfolio during critical phases of project implementation. The Transformation Transition team will deliver hypercare as a common best practice during large-scale complex change programmes. There is a need for increased support and attention immediately before and after the 'go-live' of a change. This new team will ensure wherever possible that these periods are seamless, being proactive in addressing end-user needs, issues, and feedback to ensure that we ultimately achieve the outcomes set out by the programme. The Transformation Transition Team will ensure there is ownership of risk mitigation, capturing longer-term improvements in the right backlogs, and take responsibility for transitioning each delivery from programme implementation to 'business as usual' owners in the wider University. Main Duties and Responsibilities Create and embed a hypercare and transition framework, utilising internal and external best practice and frameworks, to ensure there is consistency across the Transformation Portfolio at the point of 'go live'. In the long-term, this role will also work with other functions to build understanding of 'what good looks like' for hypercare more widely across the institution. Partner with the Transformation Lead/business owner, Project Manager and College Business Partners to ensure that 'critical path' activities are aligned to both the business case and case for change. The candidate will have the leadership skills to challenge, overrule or push-back where required - either to allow a delivery to go live where criteria has been met but not all stakeholders are satisfied, or to escalate to leadership where a go-live should be paused or delayed due to risk. Work with cross-functional programme teams to identify 'go/no go' criteria, capturing what is essential and desirable ahead of time, with sign-off from relevant leaders and project boards. Monitor and support newly implemented solutions, processes or systems to proactively identify and address any issues or challenges that may arise. This includes ensuring the right people are prioritising immediate support to end-users, troubleshooting, and offering guidance on how to navigate the changes effectively. Working closely with the Strategic Engagement function and wider communication colleagues to ensure that everyone understands what a change means for them, celebrate success, share lessons learned, and address practical information/FAQs that need to be shared in the days, weeks, and months surrounding a go-live. Provide objective quality assurance of a change - ensuring that before a delivery hands over to 'business as usual' it meets the requirements as set out by the programme ahead of time. The role holder will understand the nuance between progression, 'good enough' and perfection. Ensure that feedback loops are created with end-users, stakeholders, and other relevant parties. The Transformation Transition Team will be able to analyse this feedback and feed themes into the Transformation Team and Transformation Board to ensure ongoing learning and refinement of our approach. Create and maintain a knowledge transfer mechanism both to end-users and to permanent 'business owners', working closely with Transformation Leads, to ensure they build their capability and confidence to truly embrace and embed the change. This may involve conducting refresher training sessions, developing user guides and documentation, and other appropriate knowledge transfer activities. Representing Transformation Transition within wider forums, both within and outside Transformation. This will include presenting factual, succinct, and useful information to senior stakeholders in various governance boards. Leading, coaching, and developing a team of Transformation Transition Specialists. Knowledge, Qualifications, Skills and Experience Knowledge/Qualifications Essential: Ability to demonstrate the necessary strategic competencies required to undertake the duties associated with this level of post having acquired the necessary professional knowledge and leadership experience in a similar or a number of different specialist roles. Highly developed knowledge and understanding of change and/or change management methodologies. Demonstrable knowledge and understanding of transformative change and improvement projects in complex environments. Demonstrable knowledge of quality assurance and feedback mechanisms. Desirable: Relevant Technical/Professional Improvement or Change Qualifications (e.g. Lean/Sigma/Operational Excellence/Change/ or Transformation Accreditation). Strong understanding of Higher Education organisations, purpose, and infrastructure. Recognised qualification(s) or experience in risk management and/or crisis management. Skills Essential: Strong leadership skills in line with the University Values. Effective communication and influencing skills, to interact effectively with a range of internal stakeholders over whom you have little or no direct authority across diverse functional areas. In particular, the ability to manage conflict or competing priorities to achieve the best outcome for the programme or delivery in question. High emotional intelligence. In particular, the ability to listen to and translate the needs of a diverse group of users and stakeholders, and distill these into go/no go criteria, post-go live actions, and tasks for other teams to support. Solid proficiency in data analysis and reporting, with the ability to translate complex information into actionable insights for decision-making purposes. Solid analytical and problem-solving skills, especially being able to apply these under tight timescales in a pressurised environment. Strong interpersonal skills including motivational negotiating, motivating, influencing, coaching, and building credible relationships with stakeholders. Comprehensive ability to prepare and deliver engaging presentations and training programmes. Effective negotiation, escalation management, and diplomacy skills. Ability to design and deliver knowledge transfer content in individual and group settings. A quick learner, who is able to step into programmes mid-way through the design and delivery phases, identifying the right time to start preparing for go-live without wasting resource too early. Desirable: Good working knowledge of communications and engagement strategies. Experience Essential: Proven experience in leading hypercare or post-implementation support activities within a complex organizational environment. Significant experience as a senior member of a programme team involving multiple stakeholders across several business units and/or in complex environments. Proven track record of managing specialist resources including the coaching and development of others. Experience of the end-to-end design, delivery, and ongoing iteration of 'go live' frameworks. Experience of leading focus groups, capturing feedback, and monitoring quality. Experience in a leadership role for a major change programme with significant delivery implications in complex organisations. Strong ability to prioritise, with the ability to manage multiple programmes and deadlines simultaneously. Experience of partnering with other business partners, local teams, or matrix organisations to embed change successfully. Experience of working in an environment with formal governance, programme 'gates' and reporting requirements. Experience of formally closing a project or programme successfully, including the management of long-tail or backlog items to conclusion/handover. Desirable: Experience of working in the HE Sector. Commercial acumen including the development of benefit realisation strategies. Experience of leading crisis/SCP activities within an organisation. Experience as a business owner who has been the recipient of significant change. Terms and Conditions Salary will be Grade 8, £49,250 - £56,921 per annum.
