The firm are looking to hire someone as soon as possible, so any candidates who are immediately available would be a bonus but the client is open to hiring either via a temporary to permanent route, but for an exceptional candidate will offer the role on a permanent basis for someone with reasonable notice and maximum of one month. The hours of work for this opportunity are 09:00am-5:30pm, but it is essential to be committed, flexible and prepared to work beyond the normal office hours on occasion when necessary, and in response to client demands in the completion of deadlines and projects. Overview: Support Partners and the wider team of Associates and trainees as a Legal Administrator within the focused area of Employment Law, although our client is open to candidates from other practice areas that have an interest in working in this field. The Legal Administrator will report into the Office Manager and Managing Partners EA, and you will take an active interest in understanding all aspects of client requirements and provide an exceptional service to both lawyers and clients and supporting with a wide range of administrative duties. The work is enjoyable, but demanding, and requires diplomacy and sensitivity as you will be the main point of contact for initial client enquiries and where clients can be facing difficult workplace or company situations. Confident communication skills, empathy and understanding are required. Our client is ideally looking for a talented individual who ideally will have between 1-3 years legal experience, as the salary offered is ranging to accommodate experience and expertise. Our client may also consider applicants with relevant administration or secretarial skills from a professional services background and who are keen to move into the legal arena and learn within this practice area although this is an administration role, not a PA, but still a highly responsible role. Duties: Answering and managing phone calls, particularly handling sensitive situations with potential clients. Must be professional and polite on the phone. Proficient typing, organisational and administrative support to Fee Earners (whether Partners, Associates, or Trainees), dealing with clients and you will need to demonstrate a keen interest in this sector with a committed approach to learn the business sector and the firms methodologies of working Opening new client files and learning and completing Anti-Money Laundering practices and conflict searches, seeking fee earner guidance where necessary and all compliance matters Strong organisational skills and proactive approach alongside the ability to be aware of fee earners workload and requirements, as well as managing your own duties there will be additional support to the Office Manager and Senior EA as required Processes forms, or searches, and guidance where necessary and complete general administration tasks for the team Create and save all client related documents, including the Terms of Engagement and Client Care Letters to the relevant client folder in the document management system and ensure documents can be shared electronically with confidence and develop a good knowledge of all systems/processes used within the team Develop an understanding of the scope of work undertaken by the firms busy Fee Earners and Finance team and eventually support with client billings and invoicing Manage excellent relationships with clients and colleagues as a point of contact for Fee Earners. Taking on briefs for new leads, ensuring a professional approach to client enquiries/queries Create new documents under instruction using the firms templates and precedents, using contact data from the Client Relationship/Case Management system, which is LEAP, although expertise of other case management systems is acceptable Proof-reading of documents for spelling, grammar, and accuracy Maintaining filing ongoing to ensure all files are organised, processed, and recorded appropriately After a period of training assist in the preparation of client billing, preparing, and drafting invoices under instruction Person Specification: Must be professional, calm, and courteous when dealing with potential clients, many of whom may be facing difficult workplace or company situations. Ability to be reactive, respond quickly to tasks, and stay organised.
