Supporting the Technical and Sales Team in General Day-to-Day Sales - 40% • Provide administrative support to ensure smooth daily operations. • Assist with sales-related tasks and coordination. 2. Assist Internal Sales with Managing Quote Log for Live and Tender Jobs - 40% • Maintain and update the quote log. • Ensure accurate tracking and follow-up on live and tender jobs. 3. New Lead Generation from CIS or Similar Portal - 20% • Research and identify new business opportunities. • Log and share potential leads with the sales team. Objectives The main goal of this role is to reduce the administrative burden on the sales team, enabling them to concentrate fully on their sales activities. By providing key support, you can help streamline their processes and improve the overall efficiency of the sales team. Sales Administrator 1. 3 Responsibilities 1. Tenders: • Log and track all incoming tender enquiries. • Ensure timely responses to customers by the sales/technical team. • Track active tenders for future reference. 2. Research and Leads: • Research and follow relevant project types for tender/live work leads on CIS, Glenigans and others. • Log leads onto IQ/CRM and share with the sales team. 3. Technical and Split Enquiries: • Track all incoming technical and split enquiries. • Ensure accurate and up-to-date tracking for special products or specific jobs. 4. Quotes: • Send out a weekly live quotes report to the sales team. • Maintain the quotes pipeline and ensure updates are completed for bi-weekly sales pipeline meetings. • Pursue lost quotes for feedback and track them for review. 5. Product Stock Outs: • Monitor orders lost due to stock outs and liaise with the procurement team. • Report updates to the sales team. 6. Customer Price Lists: • Manage current price lists and ensure price increases are communicated. • Handle updates to price lists in cooperation with CC. 7. Pricing and Margins: • Review Platinum prices and margins for CC. 8. Mailbox Management: • Manage the SDG estimating mailbox and internet enquiries from the public. 9. Technical Sales Support: • Attend technical sales presentations or seminars as required. • Manage the technical library (both hard and soft copies). 10. Power BI Reports: • Use Power BI to monitor customer spending trends and track ongoing tenders. • Generate and submit reports for monthly meetings. 11. CRM and Call Plans: • Log daily CRM entries for external reps. • Monitor and ensure external reps’ call plans are populated weekly. 12. Account Management: • Open cash (X) accounts for the sales team, ensuring all paperwork is received and signed off. 13. Sales Calls: • Take overflow sales calls. Knowledge Transfer: • Facilitate the transfer of knowledge regarding internal sales processes, pipeline management, and the use of the intact system. • Conduct training sessions or provide resources to ensure team members are proficient in these areas. 5. Power BI Utilization: • Use Power BI to extract and analyze data related to quotes and customers. • Generate reports that provide insights into customer spending trends and ongoing tenders.
