Purpose of job and key responsibilities
As Administrator, you will perform clerical duties to help the office run smoothly and efficiently. Your duties will include answering phone calls and emails, greeting and directing office visitors to designated meeting areas, and updating spreadsheets for your line manager.
Main duties and responsibilities
* Collect timesheets and input data to ensure staff get paid for hours worked. Any queries to be passed to the relevant department (Care Managers/Training Department).
* Monitor staff contracted hours. Where staff have not met their contracted hours in 2 to 3 consecutive months, this is to be referred to the HR Manager for investigation.
* Scanning of balance sheets and other finance-related documents.
* Ensuring the safe storage and filing of finance-related documents to meet GDPR requirements.
* Safe storage and monitoring of property and company vehicle keys. Ensuring a record is kept of who is currently in possession/responsible for any keys taken out of the main office.
* To construct and send finance-related emails to staff and other professionals as requested by the Payroll or Finance Manager.
* General finance-related data entry.
* Any other reasonable requests by the Payroll or Finance Manager.
Experience
* Previous experience is not required; however, it is an advantage.
* Experience with using Microsoft packages would be desirable.
Knowledge and skills
* Ability to work at a fast pace.
* Knowledge of how to use all office facilities such as printers and fax machines is desirable.
* Excellent numeracy skills.
* Good communication skills.
* Ability to multitask at short notice.
Working days and hours
This role will be contracted to 20 hours a week, Monday to Friday, with the working times ideally from 10:00 am - 14:00 pm; however, this can be negotiable.
