The Role: We are seeking a bright, diligent and highly organised Executive Assistant to join our fast-paced team. You will work closely with the Sales Director to provide proactive, accurate and timely administrative and operational support. You’ll play a vital role in ensuring the smooth running of the business and in transforming the Sales Director’s efficient use of time. Responsibilities: Provide comprehensive administrative support to the Sales Director. Manage and prioritise the Sales Director’s diary so that scheduled meetings reflect priorities. Ensure a good understanding of priorities to provide effective support. Screen telephone calls and manage email inbox, ensuring an excellent service is delivered to our customers at all times. Answer queries and requests from a range of customers stakeholders, enabling the Directors to focus on the strategic management of the business. Sending samples out to clients to follow up on new opportunities. Carry out project support where necessary to enable progress towards company goals. Prepare and draft documents and reports in advance of meetings. Organise internal meetings and attend these to take minutes where necessary. Accurately type up and distribute notes following meetings, ensuring they fully reflect the discussion and can be used for future reference. Provide weekly reports on action item statuses to enable informed decision-making. Maintaining an accurate and updated CRM system, onboarding new clients onto the system. Maintain high levels of integrity and discretion when dealing with confidential information. The Person: The ideal candidate will have proven experience of providing high-quality administrative support to senior managers. You will have experience of managing complex diaries and switching direction at a moment’s notice to successfully reprioritise. As a highly organised and conscientious team player, you’ll have strong communication skills, a proactive work ethic and an initiative-taking approach. The successful candidate will have excellent written and verbal communication skills and experience of accurately minute/note taking at meetings. You will be a positive team player with confidence in liaising professionally with a variety of customers and stakeholders. You will be highly IT literate with excellent attention to detail.
