The post holder will work as part of the Cancer Services team to ensure the effective delivery of key operational administration services for cancer services in line with relevant Trust policies; specifically to ensure the effective delivery of cancer access targets and ensuring the delivery and data collection of the Cancer Outcomes and Services Dataset (COSD). The post holder will be responsible for the day to day line management of a small team of MDT Coordinators (Band 4) ensuring department targets are met and occasionally providing cover for the team. To work with the clinical and operational teams, liaising with patients as required, to ensure timely cancer treatment in line with best practice and national cancer waiting targets. To undertake projects across cancer services as determined by the Cancer Data & Performance Manager and broader Cancer Management team. The post holder will support the delivery of service to agreed national standards, particularly the NHS cancer waiting time targets, monitoring patients progress along the 31 and 62d treatment targets, and escalating any issues to clinicians, the cancer data team and management as necessary. The post-holder must be able to work independently and follow the policies and procedures for the department. The post-holder will be expected to use their own initiative and keep their line manager and senior colleagues informed. This is a role with lots of variety and ad hoc demands and so the post-holder will possess excellent time management and planning skills. This post may develop over time to meet the specific needs of the clinical unit and the changing demands on the service. Key Responsibilities: Manage a team of staff responsible for recruitment, induction, cancer waiting times training, annual leave, sickness, performance, annual performance, annual appraisal process and capability and disciplinary issues. Using HealthRoster manage annual leave requests and regularly update sickness and other leave information for all MDT Coordinators. Ensure staff resource is available to support the MDT function in line with Trust and National policies and best practice. To have overall management responsibility for the administrative processes in the centrally managed cancer services. To ensure that work within the department is effectively prioritised towards effective provision of the service. Meet weekly with the Cancer Waiting Times Data Manager to prospectively plan cover at a weekly planning meeting. Participate in providing cover for MDT team members during periods of absence. To provide leadership and support to staff, ensuring that they are managed in line with Trust policies. To ensure that adequate cover is in place for MDT co-ordinators during periods of absence, leave and secondment. To be responsible for the recruitment, selection, induction, training and personal development of the above staff Set objectives and review performance of staff identifying individual training and development needs and promote continuing personal and professional development To manage sickness, conduct, disciplinary and performance issues in line with Trust policies Assess resource availability and take timely action to minimise the impact of any staff shortage on service delivery. To ensure that all staff are informed of the Divisional objectives and performance targets and are aware of the importance of their contribution to service delivery. To ensure that an in-service training programme is developed and implemented To ensure that staff are fully trained and competent in all aspects of their respective work and that accurate training records are maintained. Information management: The post-holder will ensure the team: Develop effective mechanisms to ensure that cancer patient pathways are effectively tracked to the agreed minimum numbers in conjunction with the MDT Co-ordinators and other staff groups/departments involved in the patients care and pathway. Ensure that all new referral information, including any consultant upgrades, is passed on to the appropriate clinician within 24 hours of receipt. In chasing appointments, the post-holder will ensure that the Two Week Wait rule (and the Trusts internal 10 day target for this patient group). Maintain accurate information held on the Trust wide databases Escalate any potential breaches of the cancer waiting time any areas of concern/possible delays in patient pathways to their line manager. Ensure that all patient notes and imaging are tracked appropriately. Contribute to the continuous development of information systems to improve data collection. Performance: Work closely with General Managers and attend all appropriate meetings to escalate and to update specialty teams on cancer patient pathways. Prepare for and attend Weekly Cancer Access meetings to highlight and demonstrate problems within pathways which are affecting compliance with cancer targets ensuring all actions are carried out prior to the next meeting. Meeting individual specialties, clearly communicating problems affecting patient pathway achievement to ensure that all cancer patients are treated within target, actively managing patient flow. Responsible for the strict implementation of Cancer Escalation grid for all patients on the 2 week wait pathway. To work with the Cancer Performance & Data Manager to validate breaches weekly, escalating issues to the General Manager Elective Delivery & Performance. To discuss weekly priority patients close to their breach date requiring escalation to avoid breaching at the Cancer Performance Meeting. To effectively monitor the Priority Tracking List (PTL) and support the Cancer Services management team with the weekly PTL meetings with Group representatives. Work with your line manager and colleagues to develop and improve MDT working. To work collaboratively with teams across the Coventry and Warwickshire Health care Partnership to ensure patients are treated in a timely manner. Communicating where necessary with patients in relation to transfers between clinical teams. DATA: To ensure that all patients are being effectively tracked on correct pathways and data is accurately inputted into the Somerset Cancer Register. Using the Trust systems to track information on the elements of cancer care. Run a weekly report of all tertiary referrals received into the Trust ensuring that all tertiary referrals are inputted correctly, and that pathways are escalated and treated within target wherever possible. Work in conjunction with the Assistant Cancer Performance Manager for the facilitation of the breach validation process, ensuring lessons learned are acted upon as required. Responsible for raising concerns to the General Manager Elective Delivery & Performance, of any patient deviating from their pathway milestones via escalation process and within Cancer Access. Responsible for data accuracy of your team onto the EPIC system, ensuring that audit and validation of that data is completed
