Responsible To: The post holder is responsible to the Bursar in all matters.
The post holder will have immediate line management responsibility for finance and payroll staff and services.
Fundamental Task: To ensure accurate, compliant and effective management, monitoring and control of all financial systems within the Foundation.
Responsibilities:
Staffing
1. To lead, manage and motivate the accounts staff.
2. To assist in the recruitment and appointment of suitably experienced and qualified accounts staff.
3. To appraise staff in line with school appraisal schemes.
4. To manage the induction, training and development of accounts staff.
5. To hold regular department meetings and to keep staff informed of school wide news and developments.
Financial Operations
1. To manage the computerised financial accounting systems for the Foundation and its subsidiaries.
2. To ensure compliance with relevant accounting, charitable and legal regulations.
3. To maintain the nominal ledger and regularly monitor all ledger transactions and control accounts.
4. To check, authorise and manage the monthly payroll.
5. To ensure reconciliation of the Foundation’s bank accounts.
6. To manage the Foundation’s accounts moving money between them as necessary.
7. To liaise with all budget holders on matters relating to budgets and expenditure.
8. To advise and assist staff in the financial management of School trips.
9. To ensure timely and accurate fee invoicing and administer the invoicing systems for the subsidiary companies.
10. To ensure all relevant taxes are calculated and paid in a timely manner in accordance with extant legislation.
11. To oversee all month end and year end procedures for all ledgers, including payroll.
12. To manage the petty cash system and report anomalies to the Bursar immediately.
13. To be responsible for the accounting for subsidiary companies.
14. To manage the Fees in Advance scheme.
15. To oversee cash management and produce regular cash flow forecasts.
16. To claim Gift Aid for donations where appropriate.
17. To support the billing clerk to conduct debt collection.
18. To produce the Finance Committee meeting papers.
19. To provide analysis of fixed assets and calculate depreciation.
20. To prepare the department for the annual audit and liaise with the appointed Auditors prior to and during the annual audit.
21. To produce the consolidated statutory accounts for the School, and the statutory accounts for the two subsidiary companies.
22. To produce and distribute the monthly statements of spend to date to budget holders and to highlight variances for review.
23. To produce monthly management reports and termly management accounts.
24. To produce any other management information as requested by the Bursar.
25. To ensure adequate pension reporting to Legal and General and TPT Retirement Solutions.
26. To oversee payroll reporting to the HMRC and to produce P11Ds.
27. To ensure a Company Tax Return is completed as required by HMRC.
28. To complete other financial surveys in support of benchmarking as necessary; eg. Hayes Macintyre and Baines Cutler.
29. To ensure VAT reporting is completed accurately and in a timely manner.
Systems
1. To manage and develop the finance ICT support systems.
2. To ensure appropriate levels of cover for hardware and software maintenance.
3. To review the financial system’s interface with the Foundation’s administration system and any other information systems that the school may introduce.
Other
1. To attend ad hoc meetings as directed by the Bursar.
2. To co-ordinate the archiving and destruction of historical data.
3. To ensure compliance with the General Data Protection Regulations.
