Background and our history:
Light is a perinatal mental health peer support charity that was set up in 2010 and has grown to support women and their families across South Yorkshire, led by a passion for supporting mental health during pregnancy and beyond for all families from all communities. From our hub in Sheffield, we work with families who are experiencing emotional and mental health difficulties in the perinatal period. We work in partnership across the statutory and voluntary sectors to raise awareness of perinatal mental health difficulties and the support available. This is a great opportunity to support the growth and governance of a mental health charity offering peer support at a critical time in the lives of parents and their children.
The Role:
This role will support the Chief Executive with the strategic and operational management of Light Peer Support and with the efficient running of our Charity from our main Hub in Sheffield. The Governance and Business Manager will play a pivotal role in the continued development of Light, undertaking activities to support the growth and sustainability of the charity and robust charity governance. The post holder will deputise as required for the Chief Executive in her absence, including attending relevant meetings.
Daily Operations:
1. Ensure that Light has operational cover between 9am and 5pm each weekday.
2. Manage the Light telephone answering rota to ensure phone calls to Light are answered efficiently, participating in the rota as required.
3. Undertake purchasing and procurement activities as required, stock replenishment and control to ensure best use of charity resources.
Human Resources:
1. Lead the operational HR Function and the application of HR policy and procedure, implementing operational systems as required to ensure compliance with contractual obligations and legal requirements.
2. Liaise with our HR Consultancy as required.
3. Work with the Chief Executive to ensure the development and implementation of an annual training needs assessment and associated workforce plan.
Charity Management & Governance:
1. Lead the management of Light’s policy framework and operational procedures across all charity functions including corporate, financial, information governance/data protection, human resources, health and safety, and peer support practice.
2. Maintain the charity risk register ensuring risk assessments are undertaken as required and associated action plans developed.
3. Lead the development of the annual business plan and annual report.
4. Produce and maintain the business continuity plan.
5. Provide administrative support to the CEO and Trustees for all Light Trustee and operational meetings, including agenda management, meeting records, calendar management, and monitoring & achievement of key deadlines (e.g., insurance renewals, Companies House and Charity Commission filings).
Financial/Asset Management:
1. Support the Chief Executive with operating an effective system of financial management controls and procedures.
2. Support charity bookkeeping using QuickBooks as required to input information.
3. Produce monthly staff payroll in conjunction with our external payroll, and process monthly staff expense claims.
4. Ensure prompt processing of supplier payments and collection of charity income.
5. Work with our management accountant to ensure the production of financial information/reports for year-end, budgeting, fundraising, grant/contract purposes, and Trustee meetings.
6. Develop and maintain the Light Asset Register.
Business Development:
1. Lead and co-ordinate the response to tender opportunities to ensure robust and cost-effective tenders are submitted and all opportunities maximised.
2. Research new funding opportunities via grants or tender response and write grant applications and tender responses.
Performance Management:
1. Support Light’s performance management framework across all business functions ensuring completion of data sets.
2. Undertake data analysis, producing performance management reports for internal and external purposes.
3. Undertake audits to ensure compliance with record keeping and completion of data sets.
Managed Service Providers/Consultancy:
1. Support the Chief Executive with the procurement and contract review process for current and new service providers and consultancy providers.
2. Liaise with Managed Service Providers/Consultants to ensure performance requirements are met.
Location: Sheffield
Salary: £23,915 - £25,787 (depending on experience)
Type of Contract: Part Time
Hours: 30 hours per week fixed term 12 months
Leave Policy: Staff who work 5 days a week are entitled to 23 days paid holiday per year, part-time staff allowance will be pro-rated. Bank holidays are not included in the 23 days. Staff are permitted 8 bank holidays per year in addition to the 23 days, which will be calculated pro-rata for part-time staff.
