Qualities:
• Ability to absorb detailed information quickly and help present it in written form, e.g., from a background in research or a complex administrative environment.
• Excellent verbal and written communication skills.
• IT literate with a great understanding of office software and social media platforms.
• Excellent attention to detail with the ability to focus on multiple tasks and summarize written information quickly into verbal reports.
• A team player with a professional approach and an understanding of the ongoing requirements of a role supporting a Chief Executive.
• Excellent organization and timekeeping skills.
• Understanding of dyslexia/cognitive processing impairment and knowledge of the Social Model of Disability.
BACKGROUND TO THE JOB
Duties will include:
• Ongoing assistance with diary management.
• Support with all written work, including construction, correspondence, taking notes at meetings, research for meetings, proofreading.
• Drafting documents for the CEO from outlines provided and your own research, e.g., job descriptions and complaint letters.
• Proofreading and editing business communications, from emails to board reports (including writing from dictation and restructuring draft content); digesting long pieces of writing and presenting it verbally.
• Preparation for meetings.
• Assisting the CEO in meetings and taking notes.
• Briefing the CEO on emails – scanning, reading, flagging, and following through.
• Supporting the CEO with internet and other research.
• Reminding the CEO of key dates and supporting him as he completes statutory returns such as Companies House.
• Helping the CEO access and administer online accounts.
• Supporting the CEO when preparing for board meetings.
• Assisting with staff planning.
• Supporting the CEO with legal correspondence and documents.
• Assisting the CEO with drafting documents, helping with organization and structure.
• Supporting the CEO by filling information on the organization's cloud and finding information on it.
• Working with the CEO and Grants officer around the database for beneficiaries.
• Ensuring the CEO has emails read to him.
• Keeping the CEO up-to-date on written documents and policies released by government and other bodies.
• Supporting around access issues, e.g., following up and ensuring compliance with requests for information in an accessible format, challenging breaches, and drafting official complaints to statutory bodies.
Daily and Ongoing using Zoom, FaceTime & Face-to-Face:
• Attending meetings.
• Ensuring he is at meetings on time.
• Ensuring he is briefed on upcoming meetings.
• Reading through agendas and minutes.
• Ensuring he has a set of notes that can be taken away from meetings and can communicate back to board members and staff on the meetings.
• Ongoing meetings include: The Loneliness Action Group, The Loneliness & Social Isolation in Mental Health Research Network, Tackling Loneliness Network (DCMS), Digital Equality Group, Togetherness Hub.
This will cover the majority of the tasks required by the CEO, but is not exhaustive.
CHANGES TO THE JOB
This job description is not restrictive and needs to be flexible to cope with the changing needs of the charity. It should be taken as the current representation and will be subject to review no less than annually.
TERMS
Position: Support Worker
Reporting to: CEO
Salary and benefits: £30,000 - £35,000 per annum, 25 days annual leave + bank holidays.
Contract type: Full time. Initial three-month contract with a view to extension.
Hours: 8:30 am - 4:30 pm
