The role will be based in the M365 Digital KIM Operations team within the Data Knowledge and Information Management (DKIM) function in the Cabinet Office. The team will facilitate the delivery of the Cabinet Office's priorities and purpose through providing information and records management services. The Cabinet Office creates some of the most important official records in government, including Prime Ministerial records, and the M365 Ops team will play a key role in managing digital records in line with legislation. The post-holder will work to the Head of M365 Operations and will work collaboratively with other team members, stakeholders, Information Management Leads, and Library Managers. The role will support the ongoing administration of the Cabinet Office's M365 and SharePoint systems through:
* Monitoring the Microsoft roadmap for upgrades and updates.
* Monitoring and reporting on the performance of the M365 tenant.
* Maintaining the Power Apps that provide our centralized team provisioning approach.
* Assisting the Head of Operations with technical assurance and providing technical support to change through existing or new applications and solutions, including adaptations to our Digital Archive Service.
Main Responsibilities
* Provide technical and user support for the Teams and Site Provisioning application and the accompanying Data Service Catalogue, ensuring that the provisioning application functions smoothly and efficiently.
* Maintain documentation and user guides for the provisioning app and any other required apps as appropriate.
* Coordinate with stakeholders for updates and improvements to the app.
* Provide technical support for the transition of the Digital Archive Service from Google to M365.
* Monitor and audit the disposition of records to ensure compliance with retention schedules, including disposition and transfer to National Archives.
* Configure various settings for Teams across the tenancy, such as guest access, messaging policies, and data retention policies in line with policy requirements.
* Stay up to date with evolving technologies and functionalities through continuous learning.
* Participate in professional development opportunities to enhance knowledge and skills in M365 applications and functionalities.
