Job Mission
Reporting to the IT Project & Programme Manager, support the IT department with all aspects of Project and Change Request delivery. Tracking and providing administrative support to both external and internal projects and changes, ensuring that established governance processes are followed. Maintenance and update of Project folders and documentation.
Ensure all relevant regulatory requirements are met including the FCA’s Conduct Rules and principles.
Minimum Qualifications required upon recruitment
5 GCSE’s between grades A & C (Maths and English)
Minimum Requirements
Minimum 2 years experience of working within a Project Management Support/PMO function
Demonstrates integrity, competency and experience in liaising at all levels internally or externally with clients, supporting all Project and Change Control work.
Adverse to risk taking and understands Risk Analysis to avoid undue risk to the business.
Understands basic principles of DPA, IPR and other forms of security protection of data or company assets within an organisation. Supports the Risk Owner within Projects.
Principal Job Objectives
* To provide effective support to the overall Project Management department.
* Ensure that the Change Request process is followed for the full project lifecycle covering the initiation of the CR, impact assessment, costing, scheduling and the effective tracking of development and testing through to Live implementation.
* Nurturing projects from initiation, estimation, planning, scheduling, execution, monitoring and control through to closure.
* Progress CR’s with the ability to identify risks and issues, escalating appropriately.
* Updating project trackers.
* Gathering estimations from all departments to build and develop the costs of CR’s.
* Ensure that the CR Dashboard is utilised as the primary source for daily work prioritisation of the PMO for progress tracking and the lifecycle progression of all changes.
* Work closely with the Client Support team to ensure the up-to-date progress of open changes is available and communicated ahead of any regular and ad-hoc meetings with clients.
* Work closely to support the Programme/Project Manager with the execution of their daily tasks.
* Ensure the CR Log is kept up to date with the full details relating to each change.
* Maintain the central documentation library ensuring all updated Project and CR documentation is uploaded, correctly versioned and following correct naming conventions per established ISO procedures.
* Cost tracking of CR’s whilst highlighting budgeting concerns to PMO.
* Ensuring PMO policies and procedures are kept up to date.
* Owning small change requests where a project manager isn’t required.
* Seek ways to introduce process efficiencies/best practice to the function.
* Development of effective working relationships with all OPAL internal departments.
* Provide regular and ad-hoc progress reporting to the IT Programme/Project Manager.
* Production of data required for Board/steering report in a timely manner.
* Accurate time logging and recording.
Communication
* Ensure that regular, appropriate and consistent communication takes place within the IT department and across other departments within the business.
* Ensure that all relevant knowledge regarding new projects and CR’s are shared within the IT Team.
* Attend internal meetings as and when required.
* Support the IT Programme/Project Manager in arranging logistics for meetings, workshops, training and other project-related activities.
Document Management
* Maintain the central documentation library ensuring all updated project documentation is uploaded, correctly versioned and following correct naming conventions per established ISO Risk Owner procedures.
Reporting
* Liaise with Programme/Project Manager to ensure project status and reporting is provided in a timely manner in formats specified by them to the required quality standards.
* Production of all Project and Change related MI including board and steering reports.
Security/Risk
* Support and work in accordance with OPAL’s ISO27001, DPA, Consumer Duty and other internal policies and procedures.
Competencies required upon recruitment
* Minimum of 2 years experience working within a Project Management/PMO department.
* Must have experience of project lifecycles based on Waterfall & Agile software delivery environment.
* Strong Microsoft Excel and math skills.
* Strong organisational skills.
* Strong communication skills, both written and verbal in English is essential.

* Basic knowledge of Structured products, Investments and Guaranteed Life Plans an advantage.
Additional Knowledge required to become fully competent
* Minimum 1 year experience within the Financial Services industry.
* Co-ordinating project/CR work-streams comprised of people with different skills, experience and status.
* Knowledge of our tactical and strategic products platforms.
* Knowledge of Life Insurance and Structured Products.
* Acquire and implement knowledge and awareness of ISO27001.
* Full appreciation and understanding of SDLC.
* Full understanding of PMO practices, tools and techniques.
