The Vacancy
What is the role
Fundamentally the role of the Studio Operations Manager will be to provide a full spectrum of operational services which closely supports the Head of Studio and functional teams in the delivery of content.
This role requires a highly organised individual who can manage complex pre-production planning, able to interpret data, provide accurate reporting and forecasting for content requirements. manage the end-2-end logistics pipeline ensuring the timely delivery and preparation of samples prior to production. You will have a solid understanding of how to support the functional team with product information and have extensive experience interpreting and supporting of the styling and outfit building process for studio and locations shoots.
The Studio Operation Manager also oversees the post-production function and the delivery of industry leading brand and product photography produced by the studio. You will mentor the team and monitor the workflow to ensure deadline attainment for all deliverables.
This role will report directly into the Head of Studio and will work hand in glove with the Studio Production Manager.
What you will do
Operations
* Responsible for the implementation of efficient production processes and applying best practices in the studio ensuring that the end-2-end studio operations runs seamlessly.
* Manage production schedules, tracking key milestones and planning all meetings and approvals with the Head of Studio.
* Support team’s response with potential issues with the logistics pipeline, find effective solutions where there is a risk to products speed to market.
* Own the work in progress data, ensuring wider teams have full visibility on the status of product passing through the studio cycle.
* Report on products in stock but not onsite, provide justification for overdue assets.
* Act as key point of contact for requests or on-going queries regarding products and that they are effectively resolved.
* Be responsible for implementing short notice changes that impact production schedule.
* Support teams to analyse and report on asset upload success and fail rates for all divisions.
* Provide daily situation updates to studio functional leads.
* Respond to quality assurance issues as required.
* Review timetable for weekly upload schedules for all ecommerce and marketing requirements, communicating any changes to the teams.
* Oversee team to create & present shot plans and running orders for a full range of shoot types.
* Support lead stylist in rackup sessions, mentoring the styling team to construct industry leading outfit builds for ecommerce.
* Own the relationship with global talent agencies and manage scheduling for all studio shoots, including inhouse talent and 3rd party resource.
* Monitor studios spend and ensure it is aligned with budget parameters and approved rates, conducting timely reconciliations with Head of Studio.
Pre-Production
* Manage a team of production co-ordinators, ensure team are proactively planning and delivering sample/data requirements across all channels including ecommerce and creative.
* Track performance and mentor team to be high performing.
* Liaise with other departments and technical areas to ensure sample availability and to advise of any issues which might affect the running orders.
* Oversee team to collate information about changes and amendments or modifications to final versions samples.
* Knowledge of sample lead times from each supplier across all brands to plan capacity accurately.
* Administer the studio critical path for sample delivery, liaise with relevant teams.
* Continually re assess options based on unscheduled sample deliveries, updating the wider management team at first opportunity so product is allocated to set quickly and efficiently.
* Manage team to ensure samples are organised and stored in the correct locations, receipted, and tagged throughout each season.
* Work closely with buying teams for seasonal sample orders for all divisions.
* Identify all assets from past seasons for recycling or reshooting.
* Work closely with styling team on outfit building and rackups sessions.
Post-Production
* Manage post-production team resource, work closely with the team managers to proactively plan, and deliver requirements across all channels including ecommerce and campaign.
* Track team performance and report on team activity.
* Ensure KPI’s are realistic and achievable across all categories of post-production.
* Manage the process and relationship for outsourced imagery with 3rd party suppliers.
* Raise any concerns with HoD where images are not compliant with style guide or creative briefs.
* Safeguarding compliance when working with 3rd party suppliers, and processes are aligned to in-house studio and meet the standards set out in the style guide.
* Work with styling and photography team to ensure that style guide ambition is practical and achievable for team capability and capacity levels in post-production.
* Create training material to support photography team’s understanding of standards from a post-production perspective.
What you will bring
* Expert understanding of industry practice in high volume/creative environment.
* Operational and technical knowledge of post-production and process.
* Good analytical skills
* Calm under pressure and skilled in managing high pressure deployments and pre-production activity lead up to location shoots.
* Ability to prioritise responses changing situations and make informed decisions and recommendations.
* Working collaboratively with creative & studio functions.
* Understanding of working safely in a production environment.
* Operational thinking with the ability to dynamically assess ever changing situations and make informed decisions and recommendations.
* Awareness of current and emerging photographers and other key crew members.
* Experience of collaborating with both creative and operational functions.
* Client facing, articulate, able to reference service level agreements and business requirements.
* Bachelor’s degree in a fashion/styling or production related subject.
* Experience in the studio and production industry with an expert understanding of production processes.
* Basic but broad understanding of photographic production equipment.
* Expertise gained from both inhouse and agency studios experience.
* Deep understanding of industry practice.
* Established relationships with global talent agencies with core suppliers and partners.
* Experience of requisitioning and tracking and reconciling purchase orders.
* Knowledge of studio, production and creative disciplines.
* Experience of risk assessment in the production industry.
* IOSH managing safely/IOSH Safety Management in Production
* Meticulous attention to detail with an ability to communicate clearly and concisely.
* Mac literate, with Microsoft Excel and Word Skills.
