Your primary focus will be to enhance the selection, allocation, and management of crucial administrative tasks, ensuring the smooth operation and supervision of our company vehicles.
Requirements
Company Car Policy Support: Ensuring the business Company Car Policy is maintained and applied to align with any changes and business car supply. Assist with banding activities to support car selection across the business units. Create internal communications to share information and updates to team members.
Compliance and Admin: Ensuring all company cars are administered through systems such as Insurance, Fleetcheck, Parking Apps, TFL Congestion systems, RFL, Fuel Cards etc. Also ensuring cars are removed from systems correctly. Administration of Driver Declaration forms for new company car drivers and the associated annual drivers licence checks.
Vehicle Maintenance, Repair & Compliance: Ensuring all company cars are maintained in line with DVSA requirements such as i.e warning lights, Service and MOT. Liaise with lease providers to ensure maintenance schedules are complied with. Work in association with Health & Safety team to promote safe driving and seasonal safety awareness in line with Safety Culture.
Car Supply and selection: Ensuring cars are supplied in line with company banding structure and that all cars are allocated in line with policy to ensure effective allocation and distribution for new starters, vehicle change overs and returning vehicles from leavers. Also deliver Fleet Inductions to new company car users. Manage temporary car allocation to new team members in advance of permanent car orders being placed. Offer advice to Company Car users on HMRC tax liabilities and information.
Fleet Cost Control: Ensure any returned vehicles are inspected and any damages identified are repaired accordingly to reduce return costs. Notifying HRHub team members where conditions are not acceptable and deductions are required from payroll or follow up action as necessary. Support provision of cost data such as fuel use, EV usage to support the business ESG commitments.
Payroll / P11d Support: Provide the applicable information to support P11d/Payrolled Benefit activity in association with company car/fuel card/personal mileage as applicable.
Telematics: Responsible for arranging installation and removal of telematics where relevant. Also supporting driver behaviour reports and challenging poor behaviours where relevant.
EV Network: To support management and installation of EV chargers into EV car users homes, ensuring costs are controlled and managed. Providing technical assistance arising from any EV charger issues.
Supplier Management: Ensuring all company car suppliers are managed in line with KPI’s. Holding regular review meetings with suppliers to ensure standards are maintained.
Collaboration: Work with other fleet team members within Culligan to define ways of working, process improvement and fleet best practices. Provide support to Commercial Fleet team as required.
Qualifications & Additional Requirements
* Sound organisational and communication skills.
* Good knowledge of vehicle maintenance, safety regulations, and compliance standards.
* Proficiency in vehicle management software and Web based systems.
* Good Knowledge of vehicle maintenance and operations is beneficial.
* Knowledge of HMRC / BIKable benefits process desirable.
* Driving licence desirable.
