We are currently recruiting for a Senior Workplace Coordinator to join our team in Bristol on a full-time, permanent basis. As an integral part of the Workplace team, you will be required to work to deliver exceptional workplace services and customer experience. You will support the Workplace Manager in leading the team in providing first line contact for our customers ensuring flexibility to ensure that their needs are met in a safe manner, bringing tasks to a conclusion on time and to the highest quality. You will be the point of contact in the Senior Workplace Manager’s absence for those within the team, the wider business and external parties.
You will also provide expert technical knowledge in relation to all aspects of our function. This includes cleaning, security, catering, Environment, Health and Safety and M&E maintenance. You will lead on software and system aids within the department (CAFM, BMS and others.)
Reporting to the Workplace Manager you will ensure the day-to-day operations of our 85,000 SqFt Bristol campus runs smoothly and is carried out in line with leading practices taking into consideration the needs of the business and ensuring your work is carried out promptly. You will be required to contribute to all aspects of the Workplace Team and to support the Workplace Helpdesk, contributing to SLAs being met.
This role requires regular and confident coordination of suppliers and contractors to ensure that work is carried out safely and in a compliant and timely manner, as well as the confidence to communicate to stakeholders within the business.
About You
This is an exciting role to support our Bristol campus of five buildings. You will be passionate about working in a highly effective Workplace team to support our customer. Your keen eye for detail and broad experience in Workplace Management will be essential to the delivery of a world-class service.
You should have expert working knowledge of facilities management, supplier coordination and health & safety, with a strong focus on sustainability and forward maintenance planning. Additionally, you should be confident to identify and rectify technical issues, bringing them to a satisfactory conclusion both on time and to budget. You will have demonstrable experience of leading the coordination of both hard and soft services including planned and reactive maintenance, and small project works to deliver a fast and efficient service.
You will be required to bring subject matter expertise into the team for our core digital products. Specifically, these include our Integrated Workplace Management System (formerly CAFM) and the Building Management System (BMS).
You will lead the coordination of hard services working closely with the onsite maintenance team, who carry out both planned preventative maintenance (PPM) and reactive works. Your responsibilities will include receiving quotes for reactive tasks and challenging costs to ensure value for money. You must be confident in challenging decisions when necessary to ensure that MO consistently receives the best value and outcomes for its customers.
You will enjoy working as part of a team and display leadership qualities with a desire to progress to a management position in the future. You will be comfortable as a point of contact for queries from both within the team and outside of the team, using your experience and expertise to competently provide support.
Minimum criteria:
* Broad experience of managing the coordination of TFM delivery
* Level 3 Health and Safety qualification, NEBOSH General Certificate or similar
* Good awareness of Health, Safety and Environmental requirements in commercial settings.
* Sound understanding of technical services and premises management.
* Excellent written and oral communication with people at all levels.
* Strong accuracy skills and attention to detail
* Use of Microsoft Office programs; Outlook, Word, Excel and PowerPoint.
* Experience of managing contractors and suppliers. Both setting standards and monitoring their service levels.
* Experience of working to Service Level Agreements and Key Performance Indicators.
* Working with Environment Health and Safety Management Systems
* Expertise in the use of Workplace Management systems including Building Management System and Integrated Workplace Management Systems (CAFM).
