We are looking for an experienced School Officer Manager to organise and supervise administration systems within the school, contributing to the planning, development, and monitoring of support services and the supervision of support staff.
Band: 8 - £27,344
Full time: 37.5hrs per week, Monday to Friday.
Annual Leave: 32 days
Reports to: Headteacher
MAIN DUTIES/RESPONSIBILITIES
1. To take a leading role in the management and co-ordination of appropriate administrative systems across the school as required.
2. To complete and submit information obtained from School Management information systems as required by DfES.
3. To implement and oversee the ongoing development of monitoring systems which complement school policies and procedures.
4. To prepare minutes, presentations, and undertake statistical analysis on behalf of Senior Staff and lead teachers, including student progress reports.
5. To undertake, with complete discretion and in confidence, tasks as directed which may be of a sensitive and confidential nature as required by Senior Staff, including notetaking and completion of finalised meeting minutes.
6. In the absence of the Head Teacher, liaise with appropriate senior staff regarding urgent business within the service area.
7. To provide advice and guidance to the Governing Body and Senior Staff in relation to policies and procedures, best practice guidance, legislation, and National Standards.
8. To draft for consultation, school policies and procedures relating to administration and financial systems within appropriate time scales.
9. To undertake research and obtain information on behalf of Senior Staff to assist with the decision-making process.
10. To actively monitor and update the school website, liaising with our Web Designer and providing accurate and relevant content.
11. To actively contribute to the promotion of the School, and take a leading role where necessary and appropriate.
12. To take a lead in the management of resources which may include curriculum, school, and administration equipment.
13. To manage Service Contracts and Service Level Agreements on behalf of the School.
14. To supervise and manage other administration officers within the school, including the management of their training, development, and performance in line with the School’s Performance Management Procedures.
15. Monitoring work rotas/cover for other school staff within the post holder's remit to ensure an efficient service is available, and when necessary, arrange replacement of permanent employees and hire temporary assistance to cover periods of absence or unavailability (annual leave, sickness, etc.).
16. To draft employee contracts for new starters, ensuring all information is accurate ahead of approval and managing the receipt of statutory signatures.
17. Ability to manage and prioritise workload when lone working occurs during school closure periods and ensure school security procedures are followed.
18. To co-ordinate health and safety audits and safeguarding checks throughout the school’s internal and external buildings and liaise with Site Staff.
19. To safeguard and promote the welfare of children for whom you have responsibility or come into contact with, adhering to all specified procedures.
20. To update and monitor the school’s SCR.
21. To carry out your duties with full regard to the School’s Equality Policy and Race Equality Scheme.
22. To comply with Health and Safety policies, organisational statements, and procedures, reporting any incidents/accidents/hazards and taking a proactive approach to health and safety matters to protect both yourself and others.
23. Exercise Exam Officer duties which may include: adapting processes and procedures to comply with any changes in regulations, creating exam timetables and results for staff, pupils, and parents, accessing exam board and other agency websites to exchange information, and creating and updating exam and assessment procedures and policies as necessary.
24. To support the Headteacher with calendar management, arranging meetings, and diarising.
25. Any other duties of a similar nature related to the post which may be required from time to time.
Person Specification:
Essential Criteria:
Qualifications & Education:
Foundation Degree / NVQ level 4/5 or equivalent in Business Administration, Finance, Business or related field; or commitment to obtaining Level 5 Business Admin Qualification within an agreed time period.
Experience & Knowledge:
* At least 3 years previous administrative experience, preferably in a school environment.
* Experience of establishing and maintaining a range of management information systems, ensuring accuracy of complex databases and spreadsheets.
* Experience of giving advice and guidance on policies/procedures to Senior Officers.
* Experience of policy/procedure development and implementation.
* Knowledge of Data Protection requirements and understanding of confidentiality.
* Previous supervisory responsibility including the monitoring of performance and development.
* Ability to relate well to children and adults.
* Ability to present information in a logical and systematic manner and to interpret figures with skill and understanding.
* Ability to train and motivate a team.
* Ability to work successfully as part of a team and prioritise own work with minimum supervision.
* Ability to communicate both orally and in writing to a wide range of audiences, including the ability to write clear, concise, and accurate reports.
* Ability to work under pressure to tight deadlines on a number of different projects.
* IT literate, capable of using MS Word/Excel and office packages.
* Proven ability to undertake effective research.
* Ability to work flexibly and at a fast pace, showing a high level of personal and professional integrity and conduct.
