Facilities Coordinator Job ID 194300 Posted 19-Nov-2024 Service line GWS Segment Role type Full-time Areas of Interest Facilities Management Location(s) London - England - United Kingdom of Great Britain and Northern Ireland Job Responsibilities - Primary focus on delivery of all FM Operations SLA's in accordance with KPI & Output measurements - Co-ordinate with FM Manager and Critical Service teams to deliver service level agreements - Support/Monitor 3rd party maintenance supplier activities when required and report any corrective works arising - Comply with HSE requirements as outlined within the SLA and as instructed by the company policy - Act as a part of site Emergency team as required for emergency control activities - Report all accidents, occupational illnesses and emergencies using Harbour - Ensure all contractors operate within appropriate H&S standards - Conduct monthly self-assessment using EMEA Self Assessment tool in support of quarterly contract performance requirements - Work with security to ensure all employees pre-register guests on Envoy as required; - Undertake daily building walkthroughs and support meeting room checks in accordance with local processes. Ensure all walkthroughs are documented and actions highlighted using Jira system - Carry out monthly workplace inspections and record it in logbooks - Coordination of site inductions, permit to work, Authority to work - Liaise with the landlord to ensure overall service to users in the building is maintained. - Liaise with site contact/client on a regular basis, reporting any issues and concerns in a timely manner to the management team. - Be in charge of the CBRE log books - Ensure Purchase Order are issued for services and manage directly with vendors to ensure timely invoice payment is made - Responsible for the image and visual standards of the site taking ownership of any issues or concerns - Carry out Mail Room activities including receipt, sorting and distributing incoming and outgoing post to and from mail collection points, keeping post tray names up to date, ensuring areas are tidy and that uncollected post is distributed - Check that printers and photocopiers are supplied with paper and change toner cartridges when required - Being able to create Microsoft Power Presentation - Support in setting up Events and Meeting rooms - Co-ordinate site waste and recycling arrangements - Co-ordinate with Security and report any faults on access entry system where necessary - Raise Purchase Orders for goods or services as required, in compliance of business controls at all times - Approve invoices; goods received notes and statements for payment purposes - Support cost-saving initiatives and efficiency improvements. - Take ownership and understand customer requirements and be able to demonstrate the ability to close out concerns and ensure customer is kept appraised at all times - Provide and arrange cover for the FM team as defined by line management - Monitor office layouts and space utilisation - Keep an up-to-date inventory of office equipment, furniture, and supplies - Assist in preparing for internal and external audits CBRE GWS CBRE Global Workplace Solutions (GWS) works with clients to make real estate a meaningful contributor to organizational productivity and performance.
