We are looking for a highly motivated, enthusiastic candidate with good inter-personal and communication skills, good administrative and organisational skills, reliability, and the ability to provide a confidential quality service.
You will be the main point of contact for the Sexual Health head office, acting independently and leading on the administrative support for all departmental training. You will lead on the patient booking pathway procedures and provide an administrative support service, ensuring the department operates in an efficient and effective way.
Main duties of the job
* Ensure all administrative processes in relation to the daily running of clinics operate effectively.
* Support the Senior management team in arranging and implementing training sessions for the department.
* Deal with queries raised both internal to the trust and from external sources.
* Have a regular shift on reception and provide backup cover for reception when required.
* Work 1 in 6 Saturdays on reception (time in lieu given during the week).

Job responsibilities
Training
* Contribute to the delivery of a friendly, efficient, and professional training administration service to staff across the department and to external organisations.
* Create online appointments on EMIS with our HERO system.
* Organise logistics for training sessions, workshops, and events, including booking venues, catering, and equipment.
* Lead on honorary contracts and invoicing for external training candidates.
* Coordinate and monitor events and training programmes, ensuring timely delivery and high-quality execution.
* Analyse feedback from training events and compile reports to present outcomes.
* Support learning needs surveys and contribute to reports summarising findings.
* Ensure timely distribution of certificates and maintain updated records for all sessions.
Admin/Appointments
* Set up appointments on EMIS.
* Arrange and confirm appointments with patients and clinicians within the Advanced Physiotherapy Practitioner Service as required.
* Liaise between clients, professional staff, and other multi-agency partners as required.
* Answer and engage with telephone enquiries.
* Deal with incoming and outgoing mail.
* Deal with referrals to the sexual health service.
* Update rotas.
* Deputise line management responsibilities in Service Coordinator's absence.
* Undertake administration duties that are specific to the role.
Induction
* Induction of New Starters: Responsible for welcoming and integrating new employees into the team. This includes creating log-ins for various online programmes and conducting first-day inductions, covering essential information about the organisation, policies, and procedures.
Person Specification
Education and Qualifications
* NVQ level 3 or equivalent.
* Professional qualification in admin or business studies.
Experience
* Experience of working in a complex and busy healthcare environment.
* Previous experience of database systems and admin.
* Previous experience working in sexual health.
Knowledge
* Sound understanding of practical data protection issues.
* Familiarity with medical terminology including sexually transmitted infections/HIV/contraception.
