Job Summary:
Our Event Coordinator role offers a dynamic, hands-on opportunity to be involved in creating memorable experiences and is ideal for someone with a passion for events, organisation, and client satisfaction.
Specifically, you’ll be responsible for assisting in the planning, organising, and execution of events: working closely with the Event Manager or Event Planning team and carrying out logistical tasks, vendor communications, and day-to-day event support - in a role that involves managing timelines, coordinating with vendors, overseeing event setup, and assisting with post-event wrap-up tasks. You’ll be a valued member of the team - and crucial to making sure each event runs smoothly, creating memorable experiences for clients and guests.
Your Key Responsibilities
●Working closely with the Event Director to organise, set up, manage and wrap up successful events.
●Helping with day-to-day event administration - taking responsibility for managing a database and delegate bookings, answering telephone calls, responding to email enquiries, and researching suppliers.
●Contacting and coordinating with vendors - including caterers, decorators and audio/visual providers.
●Attending events to assist with the delivery and set-up of event stands and collateral - ensuring all materials and equipment are correctly placed, and troubleshooting any on-site issues.
●Acting as a key point of contact at events - providing ongoing support for clients and guests.
●Helping promote the company and events, through use of the internet, social media and printed materials.
●Assisting with association memberships and dealing with membership enquiries, including taking payments and updating personal records.
●Helping with invoicing, expense reporting and financial reconciliation post-event.

The Events industry is a dynamic and growing sector that offers rewarding roles and strong prospects for bright-minded, ambitious individuals, but candidates for this position must also possess some clear qualities, including being able to work on several tasks at once - and perform all aspects of the role: from the more exciting aspects of interacting with high-profile people, through to the more mundane, routine tasks.

●Self-motivation and the ability to use your own initiative.
Desirable:
●Degree educated.
●Previous experience with events management (informally or professionally).
●Experience with social media and event promotion.
●Knowledge of venue layouts, A/V equipment, and catering services.
●Basic understanding of budgeting and finance.
●Welsh speaking and writing skills
Working Conditions:
●Primarily office-based with significant time spent on-site at events.
●Ability to work flexible hours, including nights, weekends, and holidays as needed.
