About the role We are currently looking to recruit a positive, highly organised, motivated and pro-active Finance officer to work with our small team of staff, the board of directors and our project partners. The officer is expected to work closely with the current Administrator and all project staff. They will play a pivotal role in the smooth running of the organisation’s finances and payroll. The successful candidates will: Be flexible, and adaptable with excellent time management & interpersonal skills. Have excellent attention to detail, with previous experience in Finance management & bookkeeping duties. These include dealing with grant funding, budgets and processing payroll. Experience of dealing with HMRC, producing quarterly VAT returns with support from our company accountants. Be calm and unflappable, with the ability to work on multiple projects meeting all the required deadlines. Have excellent IT skills, including Microsoft Office and bookkeeping software QuickBooks. Able to work within a small team and make decisions confidently. Be a great communicator, provide regular financial updates in the form of reports to all project managers, CEO and the Board of Directors. Fluency in Welsh would be highly desirable for this post. We are a small team, and we really want someone who is prepared to get down to the job, learn fast, work hard, can cope with multiple distractions and always retain a sense of proportion and good humour Some previous experience of working with community projects, or in the 3rd sector would be very useful, although not essential. (15hours)Location: NewtownSalary: £28,000 depending on experience and qualifications.Duration: PermanentGeneral information: This post will provide financial support for Open Newtown and Hafan Yr Afon including all wider projects. Job purpose: To fulfil bookkeeping & other financial functions including the day-to-day responsibility for all financial systems & tasks, and to provide financial reports to the Open Newtown staff/directors as required. To provide administrative support to the Senior Administrator & CEO. Responsibilities and key tasks: General accounts duties, including adding receipts, generating invoices, and reconciling accounts, including supplier payments and bank reconciliations, using QuickBooks. This will also include producing quarterly VAT returns and submitting them to HMRC and running the payroll for a team of 25 members of staff with the support of the company accountant. Preparing and managing budgets and cashflow for various grants from a range of funders. Ensuring that they are recorded correctly within the accountancy software. Submitting all grant claims within the designated timeframes. Creating and managing financial systems to ensure that they run smoothly, including maintaining and preparing records for the company accountants to produce end-of-year reports. General administration duties, including answering incoming telephone calls, responding to email enquiries efficiently and courteously, and maintaining the office and its resources in a tidy and organised manner. Provide support to the Senior administrator /CEO in ref to staff contracts and Statutory Payments. To work with the Finance Director to create and deliver financial reports to the Board of Directors monthly. General duties: Take responsibility for your own safety and ensure that colleagues and visitors are not exposed to danger. Work effectively and considerately with other employees and volunteers to promote the aims and objectives of Open Newtown and present a positive image of Open Newtown to members and the public. Abide by the Open Newtown policies and endeavour to always follow good working practice. Undertake such other duties as may be reasonably requested by the CEO.
