Main duties of the job
To support the administration team (specialty PA) with audio typing and transcription of clinical correspondence within specified timescales. Training will involve working alongside and under supervision of the other administration staff. The post holder will undertake an apprenticeship in Business and Administration level 3. The post holder will be working towards competence in accurate audiotyping skills and a sound knowledge of medical terminology. In undertaking this role, the employee will be expected to behave at all times that are consistent with and actively support the Trust values.
Detailed job description and main responsibilities
• Accurately transcribing from Winscribe digital dictation and Winscribe Speech Recognition digital dictation, outpatient clinic letters and miscellaneous clinical correspondence to a high standard within specified timescales.
• Under supervision reduce and cancel clinics, add patients to the partial booking waiting list.
• Under supervision deal appropriately with enquiries from staff and the general public seeking advice or referring elsewhere if necessary.
• Keep personally updated and be able to advise patients in relation to services available, for example transport, interpreting services etc.
• Receive and respond to enquiries from relatives/external agencies adhering to Trust confidentiality guidelines at all times.
• Assist in the tasks and duties of other staff within the team during periods of staff leave/absence to ensure that an effective quality service is maintained at all times and contributing to the work of the team.
• Be able to competently use Medway PAS and other information technology systems and participate in training programmes to develop and update personal skills to meet the needs of the department.
• Maintain a tidy, safe working environment, reporting any hazards or faults timely and appropriately.
• Present a professional, polite and courteous attitude at all times and be appropriately dressed when on duty.
• Ensure RTT patient data quality is accurate at all times.
• Liaising with outpatient administrator regarding appointments and necessary important clinical information to ensure patients are seen on their pathway without delay.
• Undertake any other duties which may reasonably be required.
• The post holder will be required to undertake mandatory training as and when required.

Training & Qualifications
* Functional skills level 1 in English, Maths and ICT
* Familiar with using Microsoft packages ie Word, Excel, Outlook
* English and Maths GCSE Level C or above
* QCF in Business Administration level 1 or Customer Service or equivalent
Experience
* Previous experience of working within an administrative setting is desirable in either a paid or voluntary capacity but not essential
