SUMMARY To assist the Head of Academy Operations in the day-to-day operations and administration for the Academy to ensure compliance with the Rules and Regulations of the relevant governing bodies. CORE RESPONSIBILITIES/ACCOUNTABILITIES Oversee the registration and induction of Academy players in conjunction with the Head of Academy Operations within the U9 – U16 age groups ensuring accuracy and compliance with League/FIFA rules. Oversee the administration of the Pre-Academy and Shadow squads including but not limited to inviting players into the squads, liaising with parents and players and maintaining accurate records to ensure a smooth operation of the programme. Manage the registration and submission of training models for all schoolboy players in line with governing bodies rules. Work closely with the Recruitment Domain to successfully register trialists for the U9 to U21 age groups including drafting of league paperwork and itineraries, booking travel and accommodation. Have up to date knowledge of FIFA TMS including the process and applications for the transfer of minors, international clearance and Right to Work/GBE and updating staff of changes as they occur. Co-ordinate End of Trial meetings for the Multi-Disciplinary Team and manage actions. Assist the Head of Academy Operations with Scholarship registrations and work experience for players in the Professional Development Phase. Administer and oversee the FA Anti-Doping systems for the U18 and U21 players in line with Anti Doping Regulations. Accountable and targeted against relevant cost codes within the domain budget. Liaise with the Football Association, Premier League and English Football League as required in relation to administration matters and be familiar with the EPPP rules. Attend Academy Management Team meetings for the purpose of drafting and circulating minutes and action plans. Oversee the Stewarding requirements for the Academy of Light, including the authorisation and logging of timesheets in line with agreed budgets. Work with the Head of Academy Operations to facilitate all activity as detailed in the Annual Planner and Schedule which will include scheduling meetings and planning events to ensure key dates are met. Assist with Academy special events such as first team matchday tickets/activity/hospitality and meetings. Ensure Teamworks is kept up to date for all player and staff, maintaining accurate records, adding and removing users as required and providing support and training for new users as part of the Induction process. Manage requests to use the Academy facility in consultation with the Head of Academy Operations and explore revenue streams through our own operations. Keep master documents and players files up to date, saving any relevant information on the shared servers. Identify and embrace technology to improve efficiency across the Academy. Ensure effective administration and operation procedures are in place to support the Academy to ensure a consistent level of service and continuous improvement. Assist with general administration duties across the domain as necessary. Undertake any necessary internal or external training sessions and to take personal responsibility to seek opportunities to develop self and to realise own potential. Working 40 hours per week which will include evenings and weekends. About The Candidate PERSON SPECIFICATION Essential: Minimum of two years administration experience working within a busy environment. Ability to work to a high standard with attention to detail. Capable of planning own work, and the ability to manage competing demands and high pressure. Ability and willingness to be flexible and work irregular/unsociable hours. Desirable: Experience of working within a professional sports organisation. Knowledge of professional football governing bodies rules and regulations.
