Administrative Assistant based with our Public Sector in Coleraine.
£12.86 per hour plus paid holiday hours and weekly payment of wages the week after your working week.
37 1/2 hrs each week, 9am-5pm, Monday - Friday

CRITERIA
(5 GCSE’s to include English (Grades A – C) or equivalent
OR NVQ Level 2 in Business Administration or a related subject plus GCSE English Language (Grades A – C)
PLUS Secretarial/Administrative/ Clerical experience in a healthcare setting
OR
GCSE English and Mathematics (Grade A – C)
AND 4 years in the last 10 years Secretarial/Administrative/Clerical experience in a healthcare setting
PLUS
Experience in the use of Microsoft Office packages and IT applications.
ROLE
KEY RESULT AREAS / MAIN RESPONSIBILITIES
§ Ensure that deadlines for payroll, etc. are met, working in close liaison with the Human Resource Department
§ Prioritise workload and keep Medical Staffing Manager informed.
§ Maintain up-to-date and accurate records on medical locum procurement, medical staff leave etc. using the departmental spreadsheets/databases.
§ Awareness of Trust and departmental procedures, systems and processes which are in place for the medical staffing function and are effective for communicating within the Trust.
§ Highlighting medical staffing shortfalls/vacancies as they arise to the Clinical Director/Budget Manager, particularly where these could have a potential impact on clinical service.
§ Support the Clinical Director in the preparation of Job Descriptions using the appropriate Human Resource templates
§ Co-ordinate leave plans with Medical Administrative Assistant colleagues in accordance with leave procedure.
§ Provide support and cover on a Trust-wide basis for colleagues ensuring a robust handover is in place.
§ Co-ordinate on behalf of the Directorate Departmental Induction/1-1 introductions for newly-appointed medical staff, including locum/temporary staff.
§ Undertake the administrative function for the monitoring of junior doctors hours using the Allocate computer system.
§ Provide leave record card and maintain records of annual/ Special/Sick leave etc. for medical staffing.
§ Maintain confidentiality within and outside of the work place at all times.
§ Undertake any other duties as assigned by the Medical Staffing Manager to ensure the needs of the service are met.
