This Executive Assistant position is a pivotal role, serving as the linchpin of the CEO and the rest of the Executive Committee (ExCo), ensuring seamless operations and enabling the team to focus on strategic priorities. Acting as both a strategic partner and an administrative expert, the EA enables the ExCo to focus on driving the company’s vision and priorities by managing complex schedules, facilitating key projects and ensuring seamless communication across all stakeholders.
This role goes beyond traditional administrative support, requiring exceptional organisational skills, a proactive mindset, and the ability to anticipate the needs of a dynamic, fast-paced executive environment. The EA will be a trusted confidant and key representative for the ExCo, often serving as the first point of contact for internal and external stakeholders.
The successful candidate will thrive in ambiguity, demonstrate unparalleled discretion, and act as an essential enabler for business-critical decisions and initiatives.
Key Responsibilities
Executive Support
* Serve as the primary point of contact for the ExCo, managing diaries, scheduling diaries, handling communications, and inquiries.
* Provide comprehensive administrative support to senior executives, including managing complex calendars, scheduling meetings, and prioritising tasks effectively across multiple time zones.
* Oversee and manage executive email accounts, filtering and prioritising messages as needed, responding when necessary and handling confidential information with discretion.
* Draft, review and edit correspondence, reports, and presentations, ensuring alignment with the Company’s brand and communication standards.
* Coordinate travel arrangements, including flights, accommodation, and itineraries as required.
* Support Board meetings preparations including agenda creation, taking minutes, and managing follow-up tasks.
* Assist in the preparation of board reports and internal communications.
* Act as a liaison with internal and external stakeholders, demonstrating professionalism and discretion in all interactions.
* Maintain various records and documents for company executive(s)
* Build strong relationships with internal and external stakeholders, acting as a representative of the ExCo.
Meeting Coordination
* Organise and prepare for meetings, including consolidating the agenda, gathering documents, and attending to meetings logistics.
* Record detailed meeting minutes, track action items, and follow up to ensure timely completion.
* Liaise with internal and external stakeholders to arrange presentations or input for meetings.
* Follow up with meeting attendees to gather feedback for continuous improvement of meeting efficiency.
* Assist the Operations and Administrative Coordinator with the planning and of company-wide events or leadership offsites when required.
Project Management Support
* Assist with coordinating and tracking ExCo-led projects or initiatives, ensuring deadlines and deliverables are met.
* Collaborate with cross-functional teams to gather updates and provide status reports to the ExCo.
Administrative Function Management
* Oversee and manage the administrative team to ensure efficient communication and operations.
* Identify and address administrative inefficiencies, proactively implementing solutions to improve workflows
Requirements
Essential
* Proven experience as an Executive Assistant supporting C-suite executives, ideally within the technology/SaaS sector.
* Outstanding organisational and time-management skills with a strong attention to detail.
* Excellent written and verbal communication skills.
* Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with collaboration tools (e.g.,Teams).
* High level of discretion and confidentiality, demonstrating a strong sense of ethics and trustworthiness, tact and integrity.
* Expertise in refining and creating professional, high-impact PowerPoint presentations and business documents.
* Ability to manage multiple priorities and adapt to shifting demands in a high-pressure environment.
* Strong problem-solving skills and a proactive mindset.
Preferred
* Experience in a fast-growing technology or start-up environment.
* Project management skills or qualifications (e.g., PRINCE2, Agile methodologies).
* Familiarity with CRM and ERP systems (e.g., Salesforce, NetSuite).
